JAPANESE-SPEAKING ADMINISTRATION OFFICER

The purpose of this role is to provide effective, effective and accurate administrative support and at all times maintain a professional attitude to maximise the effectiveness of our communications with external and internal customers.

PRINCIPAL ACCOUNTABILITIES

BUSINESS OUTCOMES
Primary point of contact for all head office building/facility issues
Identify, discuss and resolve issues related to our tenancy including conducting regular inspection of office area
Liaise directly with property management company
Management of contractors engaged to do office maintenance and vender set up for contractors with Accounts Payable team
Log issues, problems and contractor's work
Management of office cleaning, including arrangement of fridge cleaning and communication with Cleaners
Regular inspection and management of meeting rooms and reception areas, to ensure rooms and reception areas are presented to a high standard at all times
Collect information from all sites regarding pest control, electrical tagging data
Team documentation preparation
Procurement of ergonomic items for employees liaise with WHS&E; Manager
Set up and ongoing management of employee workstations including chairs, filing cabinets and credenza
Update a seat map for Macquarie Park
Management of all company vehicles
Provide office administration support including general office duties and general administrative duties where required.
Provide Japanese / English translation service when required
Provide support to account team for preparation of Fringe Benefit Tax
Ordering Business cards for employees
Provide Administration support to expats when required, e.g. accommodation and other matters
Effectively answer, screen, page and transfer calls to the appropriate person
Welcome all visitors in a pleasant and professional manner and ensure they sign in and out
Provide drinks for guests as requested
Distribution/Coordination of mail and deliveries
Distribution and reconciliation of cab charges and Uber
Management of office security cards
Ordering Power Pass when required
Provide back up for other Admin team member when required

YOU:
Australian Citizenship/ PR/Partner Visa
Previous admin officer experience
Japanese speaking with excellent English communication skills
