What You'll Do
As a Junior Contracts Administrator based in Brisbane's vibrant West End precinct, you will play an integral role in supporting the successful delivery of major construction projects. Your day-to-day activities will involve collaborating closely with senior colleagues to manage all aspects of contract administration—from procurement planning through financial oversight to quality assurance. You will be responsible for maintaining meticulous records, preparing essential documentation such as tender packages and subcontract agreements, reconciling supplier registers, administering claims and variations, and ensuring that all contractual obligations are met efficiently. * Assist with the complete administration function for assigned projects from contract sign-off through to final handover, ensuring all processes align with company standards and industry best practices.
* Support the Senior Contracts Administrator in establishing and maintaining procurement strategies, including developing detailed schedules, managing tender processes, and preparing subcontract agreements.
* Oversee financial administration tasks such as budget allocations, monthly cost reporting, forecasting, progress claims, variations, and finalisation of subcontracts while maintaining accurate records in relevant databases.
* Develop and maintain registers for suppliers and materials, ensuring continuous reconciliation throughout each project phase in line with quality assurance requirements.
* Prepare cash flow projections and review site progress against these forecasts to ensure alignment with project timelines and budgets.
* Administer minor works agreements, purchase requisitions, contract insurances, and other documentation required for smooth project delivery.
* Establish effective communication protocols for project administration including filing systems, standard letters, registers, cost plan adjustments, and month-end reports.
* Monitor subcontractor performance proactively by communicating obligations clearly and addressing any issues before they escalate into disputes.
* Support quality assurance processes by assisting with inspections, checklists, defect management procedures, and ensuring compliance with all relevant standards.
* Mentor building cadets assigned to assist with administrative tasks while promoting their ongoing development within a nurturing team environment.
