**Position Summary**

The Sales Coordinator role is responsible for providing administrative and support to the Sales and Marketing Department and ensuring the highest level of customer service to both internal and external clients. The role is also responsible for building and maintaining relationships with key stakeholders and assisting with the coordination of site inspections and client events.

**The Role**
- Greets visitors, ascertains nature of business, and directs visitors to employer or appropriate person.
- Prepare quotations, proposals and contracts for all market segments
- Assist with contract processing of Corporate RFPs including loading rates and company details into Opera and Opera Sales and Catering system, requesting rates to be loaded into the GDS via Revenue Management and storing contracts.
- Coordination of contract process including blocking space, loading rates, updating activities and storing contracts.
- Update and maintain correct content and web links in all merge documents
- Maintains positive guest and colleague interactions with good working relationships.
- Provides administrative support to Director of Sales and Marketing, Director of Sales and Sales Managers and on occasion Director of Revenue and Director or Marketing and Communications
- Prepares the relevant materials for all meetings attended by the Division Head: Daily Operations Meeting, Executive Committee Meetings, Departmental Meetings and ad hoc meetings.
- Answers telephone and gives information to callers or routes call to appropriate official and places outgoing calls.
- Makes copies of correspondence or other printed matters.
- Collate welcome cards and amenities requests
- Database management
- Undertake a quarterly audit of hotel's collateral to ensure it complies with Capella Sydney brand standards.
- Work with the Director of Marketing Communications to source and order appropriate hotel corporate gifts and stationery / packaging.
- Prepare and maintain sufficient stock of media and sales kits, and update content as required.
- Co-ordinate and attend sales and marketing functions/events as required.
- Assist in coordinating guest lists, invitations and RSVPs for events
- Sales trip preparation / follow up, including preparing sales kits, updating Sales and Catering & post trip follow up.
- In conjunction with the DOSM/DOS, coordinate the contracting process for the tour operators and corporate accounts on an annual basis. Maintain accurate, timely records of brochure contribution commitments and value-add offers.
- In conjunction with the DOSM, attend to all Virtuoso-related enquiries and booking requests as they arise
- Ensure Sales and Catering accounts are kept up to date and accurate at all times.
- To perform administration duties as directed by the DOSM, DOS, Sales Manager and DMCM. They will include, word processing, filing, photocoping, couriers, mailouts, taking minutes and other general duties.
- To assist Sales & Marketing team on projects and presentations.
- Answer all incoming calls, priorities requests and qualify requirements to ensure the call is given to the relevant team member.
- Ad hoc administration tasks and projects as required by the Sales Team.
- To attend all internal meetings as required.
- To accurately and promptly distribute all incoming mail, memos and internal correspondence when necessary.

**Talent Profile**
- Hospitality or Sales/ Marketing tertiary qualifications are preferred
- Experiences in similar role in luxury hotels/resorts or hospitality sector is preferred
- Experience in a sales or events workplace
- Knowledge of Hotel Property and Catering Management Systems (OPERA)
