About the Role
This role is critical in managing the administration aspects of the sales and leasing processes, from database management, listings, and sales transactions (including Sales Trust management), through to post‑sale client service. You will work closely with multiple agents, ensuring consistency, accuracy, and efficiency across all processes while contributing to business strategy and operational improvements.
Key Responsibilities
- Manage and maintain CRM and property databases, ensuring accurate and complete records.
- Administer sales and leasing workflows, including listings, marketing campaigns, settlements, and after‑sales service.
- Oversee digital communications and marketing initiatives, including ActivePipe campaigns.
- Support financial management, including Sales Trust administration and campaign budgets.
- Assist agents with daily administrative tasks and reporting requirements.
- Develop, document, and implement business processes to improve efficiency and client engagement.
- Monitor team activity and performance, providing insights and reporting to business owners.
- Stay up‑to‑date with corporate training, technology platforms, and system enhancements to optimise office operations.
What We’re Looking For
- Proven experience as a team administrator, ideally in commercial real estate.
- Experience with Trust accounting highly desirable.
- Strong IT literacy, including CRM systems (e.g., MRI Vault) and digital marketing platforms.
- Exceptional organisational skills and the ability to manage multiple tasks and deadlines.
- Ability to work autonomously and collaboratively, maintaining high standards under pressure.
- Strong attention to detail, interpersonal skills, and professional presentation.
- Commitment to self‑education and embracing new technology and process improvements.
