About The Department

About The Role
1. Scheduling and Coordination: Schedule appointments, maintain diaries, receive and assist visitors, identify client needs, and redirect telephone calls.
2. Minute Taking and Record Keeping: Take minutes of meetings and distribute them to attendees, coordinate room bookings and functions, and organise conferences.
3. Travel Arrangements: Coordinate and organise travel and accommodation for departmental staff.
4. Administrative Support: Provide advice on office administrative procedures, offer word processing services, and produce advanced desktop-published documents.
5. Regional Services: Undertake work across a range of regional services activities to support the region and schools, including the administration of ordering and payment procedures.
6. Data Management: Use spreadsheets and databases to assist in the preparation of communication materials, reports, submissions, briefing material, and correspondence on various issues.
7. Filing and Correspondence: Maintain an efficient filing system of correspondence, expenditure, and records, and monitor the flow of correspondence.
8. Information Dissemination: Coordinate and disseminate information to office personnel, and manage records management activities.
9. Technology Skills: Possess high-level information and communication technology skills, including proficiency in Microsoft Word, Outlook, and Excel, with an emphasis on efficiency and accuracy.
10. Liaison and Communication: Liaise with officers at all levels of the department, schools, other government agencies, educational institutions, organisations, the private sector, and community representatives.
