Position DescriptionAdministration Student Support Allrounder

Reports to: Chief Executive Officer; day-to-day direction from the Executive Officer and/or Office Manager.

Position Purpose
This blended role of administration allrounder combines day-to-day administration duties with a strong focus on student support The Administration and student support role is to provide high-quality client service and administrative support to WRCC students and clients. The role has a primary focus to support the coordination and functioning of Adult and Community Education (ACE) programs. The role blends front-of-house administration student support, enrolment and data processes, venue and resource coordination, and proactive community outreach to engage adult learners including communities affected by natural disaster supporting access to educational opportunities.
This is not a counselling role; where appropriate, the position makes referrals to suitable agencies.
Key ResponsibilitiesClient Service & Front-of-House Administration
· - Provide accurate, friendly, and timely support and advice to clients, customers, students, and trainers.
· - Manage general office duties including reception, photocopying, scanning, filing, and mail handling.
· - Organise purchase of stationery and routine office supplies.
· - Collaborate closely with the Executive Officer and administration team.
· - Perform other reasonable duties as required.
Enrolments, Records & Data Quality
· - Process student enquiries and enrolments, ensuring accuracy and compliance.
· - Maintain data entry of enrolment statistics and program records.
· - Prepare class rolls, course packs, and program documentation.
· - Support reporting requirements through routine data extracts.
Program Coordination & Outreach (ACE)
· - Coordinate and implement adult education programs and resources
· - Provide student support where required to WRCC students.
· - Provide individual guidance, course information, and basic educational planning.
· - Support development of educational materials.
· - Assist with logistics including scheduling, venue setup, and resource allocation.
Community Engagement & Partnerships
· - Engage community members, including individuals impacted by natural disaster, to promote WRCC programs.
· - Maintain partnerships with community organisations and educational institutions.
· - Represent WRCC at community events and networking activities.
Venues, Resources & Supplier Coordination
· - Assist in hiring venues and coordinating facilities and equipment.
· - Monitor inventory and procure learning and office resources.
· - Liaise with trainers to ensure venue suitability.
Compliance, Safeguarding & Risk
· - Uphold WRCC policies, procedures, and relevant standards.
· - Maintain appropriate role boundaries and make referrals where necessary.
