About the Role

We are now looking for a proactive and confident Virtual Administrative Assistant to support our sales teams with a key focus on cold calling, lead generation, and sales coordination.

This role is perfect for someone who is confident on the phone, highly organized, and eager to support a results-driven sales team. You will help drive new business opportunities by making initial contact with potential sellers and buyers, as well as assist with backend admin and coordination tasks.

In this remote position, you will work closely with multiple sales agents across our offices, providing high-level admin support and outbound calling to help generate new leads and appointments. You'll play a crucial role in keeping our sales pipeline full, agents organized, and client experience seamless from first contact to sale.

Key Responsibilities

* Conduct outbound cold calls to property owners, past clients, and new leads to qualify interest, gather property information, and book appraisal appointments
* Update and maintain CRM with detailed call notes, follow-up tasks, and lead statuses
* Assist with call scripts, objection handling responses, and lead tracking
* Schedule appointments for appraisals, open homes, and buyer inspections
* Prepare and send follow-up emails and SMS after calls
* Assist in preparing listing kits, market reports, and sales documentation
* Coordinate with photographers, signage providers, and vendors to set up listings
* Post and update listings on portals (realestate.com.au, Domain, etc.)
* Support social media efforts with listing highlights and promotions
* Provide regular reports to sales agents on prospecting and lead conversion progress
* Perform general admin and ad hoc tasks as required by the sales team

Skills & Experience Required

* Prior experience in cold calling, lead generation, or real estate sales admin
* Clear and confident spoken English with excellent listening skills
* Comfortable using call scripts and handling basic objections
* Organized and detail-oriented with strong follow-up habits
* Experience with real estate CRMs (e.g., Agentbox, Rex, VaultRE) is a plus
* Proficient in Microsoft Office, Google Workspace, and cloud tools
* Able to work full-time during Australian business hours (AEST/AEDT)
* Reliable internet and home office setup
