Production Administration Support Officer

Axios Medical and Dental is an advanced production centre that services dental and medical professionals Australasia-wide. From our state-of-the-art facility here in Melbourne, we utilise the industry's most extensive assortment of milling, 3D printing, scanning and designing technology to produce high-quality medical devices for the dental industry.

We are currently seeking an experienced Office Administrator and Production Coordination star to support our business as we experience rapid growth in the medical device manufacturing industry.

This exceptionally organised and energetic individual will be a multi-tasker with the ability to problem solve and wear different hats. We are looking for a confident and positive person who won't be shy about getting their hands dirty and assisting wherever possible to provide general administration and production support at our Coburg site located at 8/52 Bakers Rd, which will also serve as the primary site of operation.

This is a full-time role, working 38 hours per week, and will be scheduled on a roster basis, with start times of either 8:00 AM or 9:00 AM depending on operational requirements. You will be working closely with the Operations Manager to ensure efficient coordination and support of day-to-day operations. In addition to administration duties, you will also be required to deliver goods to clients when needed, so a current driver's license is essential and a vehicle will be provided.

You will be super organized and take initiative to ensure the smooth running of our back office operations. You won't be afraid of a challenge and will show great initiative by being proactive and practical. This is a rare opportunity to make your mark in a growing business. Duties include:

· Answer and direct phone calls, emails, and other communications

· Accurately book incoming cases through the Production Management System following correct procedures

· Manage client information and ensure instructions in the system are accurate

· Process customer orders and ensure timely packing and shipping

· Administer and maintain the Production Management System and CRM

· Be a point of contact and deliver exceptional customer service

· Manage inventory and order office supplies as needed

· Prepare and process invoices and financial transactions

· Maintain accurate customer/supplier/product/sales records in CRM and ERP systems

· Coordinate with the operations team for timely delivery of products

· Support the management team with administrative tasks

· Establish and maintain procedural handbooks

· Perform other duties as assigned
