Westernport Marina is seeking a proactive, organised and customer‑focused Client Services Officer to join our busy front‑of‑house team. This role is perfect for someone who enjoys a varied day, has strong attention to detail and thrives in a fast‑paced, customer‑facing environment.
As the first point of contact for our clients, contractors and visitors, you will play a key role in delivering exceptional service and ensuring smooth daily operations across our marina and boatyard services.
About the Role
Reporting to the Accounting Manager, the Client Services Officer is responsible for managing daily reception duties, coordinating client vessel arrivals and departures, maintaining accurate system records and supporting operational teams such as the vessel Travel Lift, Hardstand and Dry Storage. This position requires strong communication skills, reliable follow‑through and the ability to multitask with accuracy.
Key Responsibilities
* Manage opening and closing procedures of the reception area in the office. Typical office opening times are 8:30am to 4:30pm.
* Provide professional, friendly service to clients, contractors and visitors.
* Respond promptly to phone, email and radio enquiries.
* Action and file communications accurately, including voicemails and emails.
* Maintain a clean, organised and welcoming reception environment.
Daily Operational Tasks
* Log into and manage daily operational systems.
* Count and reconcile the till at the start and end of each day.
* Review travel lift bookings and update client files, berth details, key/fob access and system notes.
* Monitor launches, retrievals and daily arrivals; contact clients to confirm ETAs and adjust records where required.
* Update berth movements as advised by Operations, ensuring all systems and boards reflect accurate vessel locations.
Contractor & Compliance Management
* Verify contractor arrivals and ensure client authorisation is recorded.
* Confirm contractor inductions and insurance documents are current.
* Manage insurance compliance by contacting clients with upcoming expiries, updating certificates in the system and maintaining accurate records.
Administration & Reporting
* Scan, file and organise daily security forms into monthly folders.
* Maintain and update Dry Storage arrival checklists, ensuring all paperwork is completed, scanned and forwarded to the yard.
* Prepare and update client checklists for Hardstand bookings, including lifting codes, induction status, payment details and vessel movements.
* Print, restock and manage required operational and administrative forms.
General Office Duties
* Maintain a tidy, organised and professional reception and office space.
* Assist other departments with administrative tasks as required.
* Follow all internal procedures and guidelines.
About You
* Highly organised with strong attention to detail.
* Confident using computer systems (NewBook experience beneficial, but training provided).
* Comfortable handling cash receipting and daily reconciliations.
* Professional, friendly and confident communicating with clients, contractors and operational staff.
* Able to learn procedures quickly and follow operational processes accurately.
* Reliable, proactive and able to work independently as well as part of a team.
