We are now seeking an experienced and compassionate Practice Manager to oversee the day-to-day operations of the clinic and support the continued growth of our service.
About the Role
The Practice Manager plays a key leadership role within the clinic, ensuring smooth operations, strong systems, and a positive experience for both clients and clinicians. This role suits someone who is highly organised, proactive, people-focused, and comfortable working in a mental health setting.
You will work closely with the Directors/Principal Practitioners and act as a central point of coordination across administration, clinicians, and external stakeholders.
Key Responsibilities
Practice Operations
* Oversee daily clinic operations to ensure efficiency and compliance
* Manage and improve administrative systems, workflows, and policies
* Ensure compliance with relevant legislation, professional standards, and funding requirements (e.g. Medicare, NDIS, private billing)
Team & Administration Management
* Lead, support, and supervise administrative staff
* Coordinate clinician onboarding, offboarding, and contracting processes
* Support clinicians with operational and non-clinical queries
Client Experience & Communication
* Oversee client intake, bookings, and service coordination
* Ensure professional, timely, and compassionate communication with clients
* Manage client feedback, concerns, and complaints in line with clinic values
Financial & Business Support
* Oversee billing, invoicing, and payments (Medicare, NDIS, private clients)
* Monitor budgets, reporting, and practice performance metrics
* Support business growth initiatives and service development
About You
You are a calm, capable, and ethical leader who thrives in a caring yet fast-paced environment.
Essential Criteria
* Previous experience as a Practice Manager or senior administration role (health or allied health highly desirable)
* Strong understanding of mental health or allied health service delivery
* Excellent organisational, communication, and problem-solving skills
* High level of professionalism, discretion, and emotional intelligence
* Confidence using practice management software and Microsoft/Google systems
Desirable
* Experience with NDIS, Medicare, or private billing systems
* Background in allied health, psychology, counselling, or social services
* Leadership or staff supervision experience
