Epworth is an innovator in Australia’s health system, embracing the latest in evidence-based medicine to pioneer treatments and services for our patients.Job DescriptionThe Health Information Services (HIS) department is seeking a highly motivated and excellent communicator to join our Medical Record Access Team on a permanent full-time basis, working our operational hours from 8:00 am to 4:06 pm, Monday to Friday, at our Richmond campus. Please note, this role requires onsite work with no remote work capability.As a Medical Record Access Officer, you will be the first point of contact for individuals seeking access to Epworth patient medical records, responding to calls and emails from stakeholders including patients, family, law firms, police, courts, insurers, WorkCover, and other third parties. You will provide information regarding the process and fees, assess requests for proper authority, and manage requests through various stages including invoicing, photocopying, exporting digital records, and releasing information, all in accordance with relevant legislation and within legislated timeframes. During low activity periods, you may assist with scanning records, reception duties, or collecting patient records on ward rounds.ResponsibilitiesHandle all telephone queries from staff, patients, family members, and third-party organizations related to health information access.Respond professionally and courteously to inquiries via phone and email, providing information on processes and fees.Assess requests to ensure proper authority is provided before processing.Perform administrative tasks such as registering requests, invoicing, processing payments, photocopying, exporting, collating, and releasing information.Identify and extract relevant information for each request accurately and efficiently.Maintain accurate records of all requests and data entry in accordance with policies.Scan digital patient records and manage duplicate UR numbers.Assist with reception duties and ward rounds as needed.Success FactorsExcellent customer service and communication skills.Strong time management and organizational abilities.Attention to detail and diligence in releasing correct patient information.Ability to work independently and as part of a team.Proficiency in Microsoft Outlook and Office suite.Flexibility to adapt to changing processes.Desirable QualificationsExperience in a similar role.Familiarity with Patient Administration Systems (iPM, WebPAS, TrakCare) and medical record scanning software (BOSSnet, CPF).Medical terminology knowledge.RequirementsApplicants must be prepared to undergo a National Police Check, hold or be eligible for a Working with Children Check, and comply with vaccination policies, including annual influenza vaccination if required.
