Permanent full-time opportunity to provide high-level confidential and professional administration advice, assistance, and support to the Manager & staff of the Building, Engineering and Maintenance Services (BEMS) team on Administration, Finance, Human Resources, and Quality Control.
About you
Our ideal candidate will be someone who can carry out the following key accountabilities in accordance with Metro North Health's values:
* Manage the day-to-day activities of the Department's Administration area, including investigating and following up on administration challenges and issues that cannot be resolved by the administrative team, supervising and rostering general administrative staff, and developing administration guidelines and procedures.
* Ensure effective implementation and management of administration processes and technology solutions that enhance client service, improve operational efficiency, and drive continuous improvement within BEMS.
* Coordinate and manage administration staff for triaging maintenance requests, creating and managing work orders for BEMS by establishing precise processes that ensure requests are thoroughly documented, appropriately prioritized, and that necessary information is effectively communicated to trade staff and contractors, facilitating timely and efficient service delivery.
* Manage administrative functions and provide Secretariat duties for all BEMS meetings, including attendance at meetings and workshops as delegated. This entails prioritizing duties within a demanding and ever-changing environment, working autonomously, maintaining confidentiality, and using discretion to establish work priorities and meet deadlines.
