We are seeking a highly organized and proactive professional to fill the role of Administrative Officer in our Communities Programs. As the backbone of our team, you will be responsible for ensuring smooth operations by handling essential administrative tasks and supporting caseworkers in the field.
About the Role
This is a part-time position with two available opportunities: one working 3 days a week (21 hours) and the other working 4 days a week (28 hours). You will be based in Dubbo, with occasional travel to Orange and Parkes.
Your Key Responsibilities
1. Reception & Liaison: Act as the first point of contact for internal and external enquiries, liaising with service providers and contractors.
2. Administrative Support: Take meeting minutes, prepare documents, perform data entry, and support financial processes.
3. Event & Meeting Coordination: Set up and schedule meetings, book travel, and organize program-related events.
4. Fleet & Safety Management: Oversee program vehicles, process logbooks, and ensure team safety while caseworkers are in the field.
5. Office Management: Maintain office systems and handle general administrative duties as required.
Requirements
* Strong Customer Service Skills: Ability to liaise with people at all levels and de-escalate difficult interactions.
* Proficiency in Microsoft Office: Word, Excel, Outlook.
* Attention to Detail: A keen eye for accuracy.
* Time Management: Excellent time management and ability to prioritize tasks.
* Collaboration: A collaborative mindset—able to work independently and within a team.
* Certification: Valid NSW Employee Working with Children's Check and Drivers Licence.
* Education: Certificate III in Business Administration (desired).
* Experience: Experience working in a not-for-profit organization (desired).
