**The organisation**:
The Uniting Church in Australia (the Church) is a large uniquely Australian Christian denomination in Australia with heritage from historical reformed evangelical denominations. In Queensland, the Uniting Church has around 250 congregations and has schools, colleges and large community services (such as UnitingCare Queensland and Wesley Mission Queensland).

**Position purpose**:
The purpose of this role is to provide executive administrative support to the Executive Officer (EO) Corporate, General Secretary and the Moderator. This position will provide administrative support to the Executive Leadership team and to other governing bodies as required.
**Key responsibilities**:
- Provide direct administrative support to the EO Corporate, the General Secretary and the Moderator
- Maintain a good working knowledge of current matters relevant to the Synod and ensure that matters of protocol and processes relating to the Synod are upheld.
- Prepare internal and external corporate documents for internal and external stakeholders.
- Proactively manage calendars to optimise meeting scheduling, meeting information/documentation, protocols and workflow including providing adequate notice regarding future meetings and commitments including rooms, venues and travel off-site
- Receive, address and disseminate queries from a broad range of internal and external stakeholders.
- Assess, prioritise, register, direct and monitor all correspondence, take action where necessary, establish follow-up mechanisms, exercise sound judgment.
- Arrange travel, accommodation, meeting room bookings, catering, diary management for the General Secretary and the Moderator
- Manage transitions from Moderator to Moderator Elect and also transitions of the General Secretary
- Provide end to end administrative support for select governing bodies, such as Mission Collaboration and Coordination Committee (MC3) - including but not limited to, attend meetings, generate and distribute meeting agendas and documents, prepare and distribute minutes, extract and communicate resolutions.
- Manage annual Queensland Synod governance calendar
- Model the values of the Uniting Church in Australia, Queensland Synod in day to day work including in interactions with managers, lay staff, ministry agents, clients and stakeholders.
- Identify and develop strategies to provide internal and external client focused customer service including identifying improvements to policy, process and the work environment.
- Compliance with Queensland Synod policies, procedures and relevant legislation.
- Comply with Health and Safety directions and Public Health directions.
- Undertake other duties as and when directed within the scope of the role and the capabilities of the incumbent.
**Selection criteria**:
Qualifications:
Diploma of Business (or similar) is an advantage.
Experience and skills:
- Extensive demonstrated experience as an Executive Assistant supporting senior managers.
- Demonstrated ability to provide high level executive support within a multi-faceted environment.
- Proven ability and experience in effectively managing and prioritising a diverse range of administrative functions and associated activities for executive staff including the ability to initiate, determine and follow-up work priorities within mandated deadlines.
- Demonstrated extensive meeting management experience and advance minute taking skills (organise meetings, prepare and distribute agendas, minutes and other materials) with a high attention to detail.
- Proven ability to utilise a high degree of initiative, decision making skills and negotiation skills and reliability in operating independently and confidentially, with an ability to discriminate between alternative courses of action.
- Be personable with a commitment to building strong relationships with key stakeholders across the Church and its agencies, boards and committees of the Synod.
- Responsibility: demonstrated attention to detail, timeliness, analytical and focussed on outcomes.
- Demonstrated ability to clearly communicate orally and in writing with others and manage competing views.
- Demonstrated ability to act with impartiality and honesty.
- Commitment to working within the purpose and values of the Uniting Church in Australia, Queensland Synod and adhering to the policies, organisational requirements and processes.
**Additional requirements**:
- Current drivers' licence - Presentation of a current driver's licence must be made before your appointment to the position can be confirmed.
- Inter/intra state travel, working out of hours, attendance at Synod in Session is expected.
