About the role
We are seeking an experienced Administrative Officer to join our dynamic team at KJ Lawyers and Migration Consultants in Darwin City. This full-time role will provide vital administrative support to our law firm, ensuring seamless operations and a great experience for our clients.
What you'll be doing
1. Providing high-level administrative support to the legal team, including diary management, coordinating meetings and client files
2. Handling incoming phone calls, emails and visitors with professionalism and a friendly demeanour
3. Maintaining electronic and physical filing systems, ensuring documents are organised and easily retrievable
4. Assisting with the preparation of legal documents, correspondence and other materials as required
5. Ordering office supplies and managing inventory to keep the office running smoothly
6. Managing invoicing process, including creating and submitting invoices, tracking payments and resolving any discrepancies.
What we're looking for
1. Proven experience as an administrative assistant or similar role, ideally within a professional services environment
2. Minimum 2 years experience as an administrative assistant or similar role, ideally within a legal or professional services environment
3. Strong organisational skills and attention to detail, with the ability to multitask and prioritise effectively
4. Excellent communication and interpersonal skills, with a friendly and professional manner
5. Proficient in using Microsoft Office applications, including Word, Excel and Outlook
6. A keen eye for accuracy and the ability to work independently as well as part of a team
7. A positive, can-do attitude and a willingness to contribute to the smooth running of the office
