Join a Leading Transport Operator
Deanes Coaches Group is a well-established and respected passenger transport provider operating across NSW and the ACT. We deliver school services, charter operations, government contracts, and private hire with a strong focus on safety, compliance and customer service.
We are seeking a highly organised and proactive Administration Assistant to support our growing local family business.
This is a fast-paced hands-on role suited to someone who thrives on excellent customer service and keeping things running smoothly.
About the Role
You will play a key role in ensuring a smooth day-to-day operation of the office.
Key Responsibilities
Administration and Office Support
* Maintain general tidiness and organisation of reception areas, kitchen, meeting rooms and common areas.
* Provide reception support, including welcoming visitors and managing enquiries.
* Respond to phone calls, email, website, and written enquiries, escalating where required.
* Provide general administrative support including diary management, lost and found, document preparation and filing.
* Manage basic office facilities coordination and issue reporting.
* Order and manage office stationery and consumables.
* Monitor stock levels and maintain accurate procurement records.
* Source competitive pricing from suppliers where required.
Finance Support
* Process invoices, ensuring accuracy, correct coding and appropriate approvals prior to payment.
* Assist with accounts payable and receivable including invoice tracking and follow-ups on outstanding items.
* Reconcile invoices against purchase orders and internal records.
* Monitor outstanding payments and liaise with internal stakeholders and external suppliers to resolve discrepancies.
* Raise purchase orders in accordance with company procedures and delegation authorities.
* Maintain accurate and up-to-date financial records and filing systems.
Key and Contractor Coordination
* Maintain key registers and manage key allocation and returns.
* Ensure contractors sign in/out and comply with organisational requirements.
* Verify contractor approvals and documentation, including insurance records.
* Coordinate contractor access and communicate any issues to management.
General Duties
* Provide ad hoc administrative and operational support as requested.
* Assist with internal communications as required.
* Contribute to a professional, efficient, and well-organised workplace environment.
About You
You are highly organised, able to multitask and work well under pressure. You take ownership of your work and understand that accuracy and forward planning are critical in transport and travel operations.
