About the Role
The North Queensland Region covers the Far North, Northwest and Northern Districts, with offices located in Cairns, Cloncurry and Townsville. The region spans from the northernmost tip of Australia (including its islands), west to Camooweal on the Northern Territory border, and south to Home Hill.
An opportunity is available for an experienced Program Support Officer to provide high-level administrative and coordination support to assist with the timely and effective delivery of projects within the Northern District.
Key Responsibilities
* Provide high-quality administrative and coordination support to enable effective delivery of a district-wide program of works
* Coordinate meetings and workshops, including preparing agendas, recording minutes and actions, and tracking follow-ups
* Maintain program schedules and support consistent information flow across the program
* Coordinate and maintain program documentation, registers, trackers, reports and spreadsheets using Microsoft and other business applications
* Support monitoring, reporting and assurance activities by ensuring information is accurate, current and fit for purpose
* Liaise with internal teams and external stakeholders to manage enquiries, coordinate actions and support agreed outcomes and timeframes
* Support compliance with departmental policies, procedures, legislation (including WH&S) and governance requirements
* Contribute to a collaborative, positive and high-performing team environment, supporting continuous improvement initiatives
Mandatory Requirements
* Current C Class Driver's Licence
About You To be successful in this role, you will demonstrate:
* High-level proficiency in the Microsoft Office Suite and related business systems
* Experience providing administrative and coordination support within a program, project or operational environment (highly regarded)
* Strong written and verbal communication skills, with the ability to adapt communication for a range of stakeholders
* Proven ability to coordinate program support activities, anticipate requirements and manage changing priorities
* Strong attention to detail, ensuring documentation, records and reporting outputs are accurate and current
* Ability to analyse information, identify risks or issues and escalate or mitigate appropriately
* Ability to manage competing priorities and deliver high-quality work within agreed timeframes
* Strong interpersonal skills and the ability to work collaboratively with internal and external stakeholders
