Event Operations Specialist
We are seeking a seasoned Event Operations Specialist to join our team. The ideal candidate will have extensive experience in managing event logistics, coordinating with suppliers and partners, and delivering exceptional guest experiences.
This is a critical role that requires strong planning and project management skills, as well as excellent communication and stakeholder management skills. The successful candidate will be able to work under pressure, solve problems efficiently, and maintain high attention to detail.
* Main Responsibilities:
* Lead operational planning for events, including transport, accommodation, tickets, functions, and flights.
* Negotiate and secure services aligning with commercial and service standards.
* Create detailed event schedules, run sheets, and staff briefings.
* Coordinate with suppliers and partners to confirm and deliver services on time.
* Manage guest logistics such as arrivals, departures, check-ins, and transfers.
* Oversee on-site event execution, including functions and activities.
* Provide personalized support to VIP guests, ensuring exceptional service.
* Handle guest issues and special requests promptly and professionally.
* Collect post-event feedback to improve offerings and processes.
* Maintain accurate documentation of itineraries and event guides.
* Assist with tracking and financial reconciliation post-event.
Requirements:
* Minimum 5 years' experience in event operations, travel, or sports hospitality.
* Strong planning and project management skills.
* Proficiency in Microsoft Office Suite.
* Excellent communication and stakeholder management skills.
* Ability to work under pressure and solve problems efficiently.
* High attention to detail and commitment to quality.
* Willingness to travel and work weekends/public holidays during events.
* Experience with international or major sporting events.
* Knowledge of high-end travel and corporate hospitality standards.
* Familiarity with booking platforms, CRM, and logistics software.
