CAWLS is a busy community legal practice with a vibrant and dedicated team committed to providing excellent outcomes for our clients through legal advice and representation, financial counselling and other support services. Many of our clients are women who have experienced or are experiencing Domestic and Family violence.
We are seeking a self-motivated candidate with excellent communication and problem-solving skills, and a strong work ethic to join our Front of House team. The right candidate will be passionate about improving access to justice for women in Central Australia.. Excellent ongoing training and on the job support will be provided to the successful applicant.
CAWLS receptionist is part of a team working together to provide the best experience for clients seeking assistance from CAWLS. Each day is different, and the work is variable. Team members are expected to step in and assist each other as necessary.
The work of the Receptionist involves:
* Front of House/Reception duties including answering telephone and greeting clients & other visitors attending the office in a welcoming and appropriate manner, relaying messages and making appointments for clients.
* Monitor and action incoming & outgoing emails via the CAWLS generic email inbox
* Action referrals from all agencies including Supportlink in a timely manner
* Intake procedures including conflict checks, completing intake forms, appointment bookings in calendars using established templates, notifying lawyers of appointments and contacting clients the day prior to remind them of appointments.
* Collect & enter required data for internal data collection systems ensuring file notes and data entry is completed in a timely manner & provide data reports when requested.
* Maintain the in/out mail register, monitor and order stationery & other office supplies as required.
* Ensure the office is opened and closed securely each day.
* Provide first aid in accordance with training and oversee compliance & ordering of first aid supplies in the office & vehicles.
* Participate in projects and activities contributing to the promotion of CAWLS such as stalls at community events.
* Administration tasks as required to efficiently run the reception area including general tidying, cleaning and end of day office closure, mail run & office shopping.
* Comply with the requirements of any applicable legislation relating to the legal practice.
* Assist with vehicle fleet management including arranging vehicle maintenance bookings, regular vehicle cleaning and updating the maintenance register.
* Assist in onboarding and training new administrative/front of house staff to ensure a smooth integration into the team, when required.
* Report any Work Health Safety issues that may arise or come to attention in the work environment.
Formal qualifications are not required for this position however previous experience working in an office environment is a requirement including:
High level customer service & office administration skills
Demonstrated ability in the use of computer software programs in particular MS Word & MS Excel and Outlook.
Well-developed oral and written communication skills including the ability to communicate effectively with a diverse range of cultural and social groups.
Excellent attention to detail and written skills when communicating with others, both internally within the organisation and externally.
Ability to accomplish objectives effectively within time frame given and carry out administrative duties in an efficient and timely manner.
* A strong commitment to cultural safety when assisting women from diverse cultural backgrounds including Aboriginal women.
* Demonstrated understanding of confidentiality and ability to be discreet.
* Adopt a client orientated approach including the ability to effectively manage and prioritise workloads and to show initiative in the workplace.
* Demonstrated ability to show initiative and problem-solving skills.
* Proven ability to work both autonomously and as part of a team; willingness to assist and support others as required and get on with team members including taking directions from legal practitioners.
* Personal commitment to reflection and self-care to build resilience and minimise the impact of vicarious trauma.
* Current NT Driver's License, NT Ochre Card & Criminal History check & First Aid certificate (or the ability to obtain).
