Land Development Solutions (LDS) is one of Newcastle and the Hunter Region's most established and reputable property development consulting firms. For more than 22 years, LDS has delivered high‑quality Surveying, Town Planning, Engineering and Project Management services for some of the region's most significant developments.
With continued growth and a modern, vibrant office in Broadmeadow, LDS is seeking an ambitious, polished and highly organised Receptionist to become a key member of the team.
About The Role
This is not your average reception role. As the first point of contact for clients, consultants and visitors, you will set the tone for the entire business. We're looking for someone who thrives in a busy, dynamic environment, manages competing priorities with ease, and brings a high level of professionalism and attention to detail to every task.
Your responsibilities will include reception, administration and general office coordination duties in line with the Clerks – Private Sector Award 2020.
Key Responsibilities
Reception & Client Service
Warmly greeting clients and visitors with confidence and professionalism
Managing incoming calls, enquiries and visitor flow
Providing accurate information about LDS services (excluding technical advice)
Issuing and receiving standard forms and relaying internal information
Relaying internal information accurately and efficiently
Offering refreshments and ensuring a polished client experience
Administration & Office Support
Preparing, formatting and managing documents
Coordinating appointments, meetings and field survey bookings
Handling mail, filing, scanning and maintaining electronic records
Making bookings and appointments for meetings
Coordinating field surveys, including liaising with Property Managers and property owners to arrange site access
Preparing field files and documentation required for survey work
Online lodgement of applications with statutory authorities as instructed
Contact local & state Authorities as directed by PM or Directors
Coordinate monthly job lists for Directors
Maintaining office supplies, kitchen stock and general presentation
Coordinating internal events, staff functions and office coordination
Accounts & Systems
Processing invoices, payments and debtor follow‑ups
Assisting with MYOB data entry and monthly reconciliations
Timesheet administration using Trade Trak software
Maintaining spreadsheets, records and administrative systems
Processing casual pays and leave entitlements on a weekly basis
Office Presentation
Ensuring the office remains tidy, organised and welcoming
Light kitchen duties and occasional spot‑cleaning as required
(Professional cleaners attend fortnightly)
LDS acknowledges that specific training may be required to undertake some duties. Approved training and educational courses will be provided and paid for to support ongoing skill development.
About You
We're looking for someone who brings presence, professionalism and energy to the role. You will be the first impression of the business, so confidence, presentation and communication skills are essential.
To Succeed, You Will Have
1–2 years' experience in reception or administration
A polished, well‑presented and professional manner
Strong organisational skills and exceptional attention to detail is essential
The ability to manage competing priorities in a fast‑paced environment
Excellent written and verbal communication
Reliability, punctuality and a friendly, proactive attitude
Proficiency in Microsoft Office (Outlook, Word, Excel)
Confidence learning new systems and following established procedures
