The Aboriginal Administration Officer role is an Aboriginal Identified position and is only open to applicants who identify as Aboriginal and/or Torres Strait Islander.

Maaruma - Li Aboriginal Corporation Aboriginal Medical Service (Maaruma - Li AMS) is an establishing, culturally strong, community - controlled organisation who will be providing comprehensive primary health care, social and emotional wellbeing services, community programs and Integrated Domestic, Family Violence Services (IDFVS) for Aboriginal people in Coonabarabran and other communities across the Warrumbungle LGA.
We are growing and we're looking for an enthusiastic, reliable, and community -minded Aboriginal Administration Officer to join our team. This role is central to ensuring our clinic runs smoothly and that every client receives a warm, respectful, and culturally safe welcome.
About the Role
The Administration Officer is the first point of contact for clients, community, visitors, and service partners. The position provides essential administrative, reception, and community - access support across the organisation.
We are looking for an Aboriginal person who can bring professionalism, warmth, cultural awareness, and strong communication and organisational skills to our front - line service.
Key responsibilities:
1. Providing friendly, respectful, and professional customer service
2. Managing reception, answering phones, greeting clients, and responding to enquiries
3. Scheduling appointments and supporting client intake processes
4. Maintaining accurate client records, including data entry, scanning, and filing
5. Assisting with Medicare claiming, Client Information Management System (CIMS), and Customer Relationship Management (CRM) database
6. Coordinating administrative workflows, correspondence, emails, and daily operations
7. Supporting procurement, office supplies, and equipment management
8. Ensuring cultural safety, confidentiality, and professionalism at all times
9. Assisting clinical staff, visiting specialists, and internal teams as needed
Selection Criteria
Essential:
1. Experience in administration, reception, data entry, or customer service
2. Clear communication skills and a calm, supportive manner
3. Ability to manage time, set goals, complete priorities and meet deadlines
4. Strong attention to detail and confidence using computers, experience with CIMS and CRM systems (or willingness to be trained), and Microsoft Office
5. Understanding of cultural safety and respectful engagement with Aboriginal people and communities
6. A positive, solutions - focused, team-oriented approach
7. Willingness to obtain required checks
8. Willingness to participate in short courses to upskill
Mandatory Requirements
1. Working With Children Check (WWCC)
2. National Police Check (NPC)
3. First Aid/CPR (or willingness to obtain)
Desirable
1. Experience working in a health service, medical clinic, or community organisation
2. Familiarity with Medicare claiming systems, CIMS and/or CRM client management systems (or willingness to learn)
3. Certificate III or IV in Administration, Secretarial, or Community Services
(or willingness to undertake training)
1. Current driver's licence
2. Commitment to confidentiality, privacy, and culturally safe practice
