THE POSITION
Rockhampton Girls Grammar School invites applications for a passionate and dedicated Student Services Officer for an immediate start.
HOURS OF WORK AND LOCATION
Employment Type: Full Time - Term Time
This is an onsite position, working Monday to Friday during school term time, with a 7.30 am daily start time.
An on-site presence from the commencement of the school day is an inherent requirement of the role to ensure Student Services is fully operational and able to support students, families, staff, visitors and contractors.
Due to the front-of-house, student-facing and duty of care responsibilities of the position, the duties are required to be performed on site at Rockhampton Girls Grammar School.
POSITION OBJECTIVE
The Student Services Officer provides high-level, front-facing administrative and customer service support to Rockhampton Girls Grammar School. This role is a key onsite position and serves as a primary point of contact for students, parents, staff and visitors, requiring a consistently professional, calm and welcoming presence.
The position requires a high degree of independence, strong data entry accuracy and the ability to manage competing priorities without the need for close supervision or ongoing direction. The Student Services Officer is responsible for managing Student Services operations efficiently while maintaining confidentiality, accuracy and strong relationships across the School community.
A core focus of this role is the delivery of outstanding customer service, teamwork and flexibility, ensuring student wellbeing, attendance processes and office operations run smoothly and professionally at all times.
KEY ACCOUNTABILITIES
STUDENT SERVICES AND CUSTOMER SERVICE
* Act as the first point of contact for parents, students and visitors, providing high-quality, professional and empathetic customer service at all times.
* Manage Student Services operations with minimal supervision, exercising initiative and sound judgement.
* Respond to student needs in a timely, calm and professional manner.
* Liaise effectively with parents and staff to fulfil the School’s duty of care regarding student attendance and wellbeing.
ATTENDANCE, DATA AND ADMINISTRATION (HIGH-LEVEL DATA ENTRY)
* Accurately manage student absence records, sign-in/sign-out processes and SMS communications using The Alpha School System (TASS).
* Maintain a high standard of data integrity across all student records, including TASS student and parent records, timetables and subject data.
* Investigate, collate and report attendance information in collaboration with teaching staff, the Health Centre and leadership.
* Locate students during the school day as required using TASS.
* Compile, review and submit accurate data for State and Commonwealth reporting, including QCAA, QSA, ACARA, census data and Student Residential Collections.
ENROLMENTS, TIMETABLING AND REPORTING
* Support enrolment processes including timetables, student identification, name badges and TASS Portal registration.
* Set up school calendars, semester timetables and class lists, including emergency evacuation lists.
* Maintain and finalise student files for new, current and exited students.
* Manage student withdrawals, exits and end-of-year rollover processes.
* Assist with academic reporting and provide attendance and enrolment data to senior staff as required.
OFFICE MANAGEMENT AND PRESENTATION
* Ensure the Student Services office space is set up, organised and presentable each day prior to student and parent arrival.
* Maintain a professional, welcoming and orderly front office environment at all times.
* Manage lost property, confiscated items and secure storage areas.
* Support cash handling, receipting and electronic payment processes in accordance with School procedures.
HEALTH CENTRE SUPPORT
* Provide daily lunch-time cover for the School Nurse.
* Provide short-term relief support for the School Nurse, including basic first aid and student medication administration in line with policy.
* Assist with maintaining accurate student medical records and supporting health-related administration.
TEAMWORK AND FLEXIBILITY
* Work collaboratively as part of the broader administration team, providing coverage during short-term absences.
* Demonstrate flexibility to support peak workload periods, school events and operational priorities.
* Build positive working relationships across all areas of the School.
ESSENTIAL QUALIFICATIONS, KNOWLEDGE AND EXPERIENCE
* Qualifications relevant to administrative or office-based roles (desirable).
* Demonstrated experience in high-volume, accurate data entry.
* Strong computer skills, including high-level proficiency in Microsoft Office.
* Experience with TASS (desirable but not mandatory).
* First Aid Certificate (desirable).

MANDATORY REQUIREMENTS

* Hold a current Drivers Licence.
* Hold a current Blue Card from the Commission for Children and Young People and Child Guardian.
