Location: John Hunter Children's Hospital
The John Hunter Children's Hospital (JHCH) Outpatient Department is a very busy service that will see approximately 27,000 children a year by 40 different specialists.
To increase access to health services for rural communities and Aboriginal people clinics are conducted via outreach with the assistance of the coordinator.
About The Role
The Executive Assistant plays a key role within the Administration Department, supporting the coordination of John Hunter Children's Hospital (JHCH).
Our Executive Assistant works closely with our Acute Service manager in managing day to day workflow and prioritisation.
You will provide high-level secretarial support, using Health Roster, Diary Management and assisting in recruitment and onboarding of staff.
This role requires a high level of attention to detail and the experience to prioritise workloads.
Monday to Friday which allows a great work/life balance.
You will:
Handle confidential materials and sensitive hospital communications discreetly
Prepare meeting agendas, take minutes, and follow up on action items
Manage the executive's calendar, schedule meetings, and coordinate travel
Responsibilities
Coordinate day-to-day workflow in collaboration with the Acute Service manager
Provide high-level administrative support including recruitment and onboarding assistance
Utilise Health Roster and diary management tools
Prepare materials and support for meetings, including agendas and minutes
About You / Qualifications
Relevant administrative qualifications and/or equivalent experience
Demonstrated ability to problem solve and initiate action
Strong organizational abilities with attention to visual detail and tone
Compassionate, child- and family-focused mindset aligned with hospital values
Creative thinker who can communicate clearly
