Administration Officer – Leave Coverage
Reporting to the Workshop Manager, this is a leave‐coverage position for approximately three months while the regular Administration Officer is away.
Responsibilities
* Serve as the primary point of contact coordinating administrative duties, focusing on accuracy and timely delivery in areas including data entry, operational communications, compliance, invoice management and general administrative activities.
* Efficiently manage and update the national fleet database, ensuring compliance documentation is current and accurate for all vehicles and trailers.
* Oversee the end‐to‐end processing of purchase orders for fleet equipment and services.
* Handle invoicing, reconciliation and expense tracking with meticulous attention to detail.
* Assist in preparing all necessary documentation for internal and external fleet audits, ensuring compliance with transport regulations and safety standards.
* Frequently contribute to improving the effectiveness and proficiency of all systems, processes and procedures within the division.
* Provide administrative support to the operations team as required, including general help‐desk duties.
* Answer telephone enquiries and deliver high‐quality customer service internally and externally.
* Enter and update data in the in‐house system.
* Book vehicle servicing and repairs and communicate with team members.
* Handle accounts payable and receivable, raise purchase orders and receipting of invoices using the in‐house system.
Qualifications
* Demonstrated experience in a busy administrative or operational support role, preferably within the transport, logistics or heavy vehicle maintenance sector.
* Beginner to intermediate skills in Microsoft Office Suite and experience with fleet management software (or similar ERP/database systems) is advantageous.
* Strong written and verbal skills to liaise effectively with mechanics, drivers, managers and external vendors.
