The Rockhampton Grammar School is seeking an enthusiastic Human Resources and Compliance Administration Assistant to join our dedicated and hardworking team.

This is a full-time, 12 month fixed-term position, working 38 hours per week, Monday to Friday (including School Holidays). Commencement for this role is as soon as possible, or as negotiated with the successful candidate.

Applicants with HR experience, or who may be studying HR will be highly regarded.

POSITION TITLE: Human Resources and Compliance Administration Assistant

DEPARTMENT: Administration

CLASSIFICATION: School Officer Level 4

CONTRACT: 12 month fixed term

REPORTS TO: Human Resources and Compliance Manager


KEY DUTIES AND RESPONSIBILITIES

The Human Resources and Compliance Administration Assistant is responsible for providing high-quality administrative support across all areas of Human Resources, Compliance, and Workplace Health and Safety.

Working closely with the Human Resources and Compliance Manager and Human Resources and Compliance Officer, the incumbent will play a key role supporting all aspects of human resources and compliance to help foster a safe, professional, and well-supported workplace environment.

Duties will include (but are not limited to):


Human Resources Administration
* Provide administrative assistance for recruitment, onboarding, and induction processes;
* Support the preparation of employment contracts, letters of offer, and various HR related documents;
* Maintain accurate and confidential HR files, databases, and records in accordance with privacy and other relevant legislation;
* Assist with tracking and recording leave, and entitlements as required;
* Prepare correspondence, reports, and other documentation as requested.

Compliance Support
* Maintain various registers to support the Compliance function;
* Monitor expiry dates and coordinate timely renewals of mandatory certifications;
* Monitor and track mandatory training records to coordinate timely updates;
* Support the review and update of policies and procedures to ensure legislative compliance and operational effectiveness;
* Assist with internal and external audit preparation and data collection;
* Assist in maintaining records relating to risk, incidents, and corrective actions.

Workplace Health and Safety (WHS)
* Support the administration of WHS documentation, including incident and hazard reports;
* Maintain WHS registers and assist with the coordination of safety training and compliance checks;
* Support the WHS Committee with various documentation, meeting minutes, and communication.

General Administration
* Provide professional and confidential administrative support to the Human Resources and Compliance function;
* Respond to employee and stakeholder enquiries in a timely and professional manner;
* Ensure confidentiality and security of human resources and compliance records;
* Contribute to a culture of continuous improvement and positive workplace environment;
* Undertake other duties as directed and appropriate to the position as requested by the Human Resources & Compliance Manager.

REQUIRED SKILLS/KNOWLEDGE/EXPERIENCE
* Certificate or Diploma in Human Resources, Business Administration, or a related field (or working towards).
* Experience in an administrative or Human Resources support role (experience in an education setting desirable).
* High level of attention to detail and strong organisational skills.
* Excellent communication and interpersonal skills.
* Ability to manage sensitive and confidential information.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database systems.
* Capacity to work independently and as part of a team.
* Strong initiative and a willingness to learn and take on new tasks.

REQUIRED LICENCES/CERTIFICATES
* Working with Children Check;
* Safeguarding Children Online Training Certificate;
* Police Check.

* Maintain valid "working with children" documentation;
* Undergo periodic "national criminal history record" checks;
* Report to management any criminal charges or convictions you receive during the course of your employment that may indicate a possible risk to children and young people.

CONDITIONS OF EMPLOYMENT

The successful applicant will be subject to a "Working with Children Check and Criminal Records Check" where applicable. The School undertakes several screening processes to ensure the appropriate protection of children and young people in its care. This includes reference checks, identity checks, qualification check and professional registration checks.
