About The Role
Provide the first point of contact for the organisation and coordinate incoming and outgoing communication, directing to appropriate staff. Ensure all administrative equipment is operational and scheduling is accurately completed whilst maintaining utmost confidentiality in all tasks.
Primary Duties And Responsibilities .
1. Provide first point of contact for the organisation with a welcoming nature
2. Receiving and distributing mail
3. Recording ingoing and outgoing mail and mailing register
4. Monitor Australia Post account and stock
5. Receive and distribute faxes
6. Receiving phone calls, directing phone calls and operating 3CX Phone System
7. Communicate clear and accurate messages via Teams/email to relevant staff
8. Receive and distribute OCV Reports and Responses, chasing any overdue Responses
9. Manage and coordinate multiple Microsoft Outlook Calendars
10. Coordinate and monitor security keys
11. Monitor and coordinate stationery supplies
12. Always maintain a presentable reception/front office area
13. Ensure an accurate inventory of stationery is kept and compile stationery purchase requisitions and place orders for requests
14. Place and receive stationery orders
15. Coordinate double parking
16. Compile first aid audits from houses, place orders and distribute
17. Receive first aid order and coordinate correct supplies for placements according to orders
18. Maintain and coordinate administrative equipment such as binder, photocopier, phone, laminator, and defibrillator
19. Filing
20. Receive new employee paperwork, checking all paperwork is submitted
21. Coordinate and issue new employees with necessary equipment – AC ID card
22. Liaise with current employees
23. Liaise with Managers and Stakeholders
24. Communicate via email both with internal employees and external organisations
25. Identify and communicate to Manager any issues
26. Ensure that all relevant legislation and AC policies are abided by and knowledge is current
27. Liaise with clients including those with Disabilities and be empathetic to client requirements and needs
28. Ensure confidentiality and discretion is used when interacting and fielding phone calls from clients, their families and relatives
Minimum Requirements
1. 1 year experience as a Receptionist or in a similar role
2. High level of knowledge in Microsoft Office applications
3. Experience in managing multiple calendars and booking/phone systems
What is on offer?
1. Part Time Employment (across 3 set days per week) with the flexibility of being available for additional days work, to cover annual and sick leave.
2. Work week to be discussed with the applicant – the business operates during the hours of 8:30am – 5:00pm
3. 4 weeks annual leave per year (pro rata)
