Mosaic Living has operated since the mid 1960's and currently operates three Villages; Princess Gardens in Rose Bay, Guilfoyle Gardens in Double Bay and Kadimah Gardens in Wahroonga. There are a total of 113 apartments distributed across the three Villages with between residents living in our Villages at any one time. The apartments are predominantly of a 1-bedroom form, but we also have a number of 1½- and 2-bedroom apartments.
PROPERTY & ASSET MANAGER RESPONSIBILITIESThe Princess Gardens & Guilfoyle Gardens Property & Asset Manager is required to work a 5 day week with occasional on call duties.
a) Annual Asset Management PlanFacilitate the preparation and maintenance of an Annual Asset Management Plan and budget for each Village
b) Capital Contract WorksFacilitate the progression of capital works contained in the approved Asset Management Plan including:
i) Ensure that all Village programmed works, where possible, are competitively tendered
ii) Ensure entry into appropriate contracts & issue of purchase orders
iii) Ensure that Village-related asset works are programmed to minimise disruption to residents
iv) Endure observance of contractors with Mosaic Living's WH&S policies
v) Ensure coordination of works with Mosaic Living Village Manager(s) and residents
vi) Supervise all Village-related asset works to ensure compliance with Mosaic Living commissions and policies
vii) Receive and validate contractor-related accounts/invoices
c) Regular & General Site Asset Operations
Facilitate general/regular day-to-day Village maintenance
i) Village cleaning
ii) Grounds - Landscape & lawn maintenance
iii) Plant and Equipment maintenance
iv) Buildings
v) Facilitate a process for emergency/responsive Village maintenance/repair within and outside normal business hours including a list of approved core contractors
vi) Be on-call for and responding to property-related emergencies
vii) Set up and pack up furniture and other equipment for functions held
d) Annual Unit InspectionsFacilitate annual unit inspections in consultation with Village Manager(s)/administrators
e) Contractor LiaisonEstablish and maintain a register of preferred and bona-fides general contractors and ensure compliance with:
i) NSW licensing requirements
ii) Insurances
iii) WH&S practices
iv) Quality standards
f) Resident-Related
i) Responsive/emergency maintenance & repairs
ii) VitalCall response
iii) Maintain regular communication/liaison with residents & residents' committees
iv) Respond to concerns and suggestions raised by residents & residents' committees
g) WH&S
i) Evacuation & Resident fire training
ii) AFSS management
iii) Compliance tagging – Village equipment
iv) Chief fire warden
v) Ensure compliance of Village and Mosaic Living contractors with Mosaic Living's WH&S requirements
Experience and Qualifications3+ years in Property and Asset management with a strong grip on compliance and CAPEX and operational budgeting. Experience in life-cycle costing. Operational Oversight managing large-scale residential or retirement communities (preferred). Fire training or Warden (preferred). Management of complex service contracts. Ability to oversee external contractors effectively. Resident-centric, community-focused, and solutions-oriented. Hands-on with the ability to work effectively within a small team. Mosaic Living OperationsMosaic Living villages are staffed by a Village Manager(s) and Property & Asset Manager. These groups make up the Village Teams. Reporting directly to the Chief Executive Officer the Village Teams work closely together in administering the operations of our Villages, with the Village Managers primarily responsible for the welfare of our residents and the Property & Asset Manager responsible for the cleanliness and welfare of our Village properties, which includes the apartments.
Although the Village Manager is responsible for the welfare of the residents and the Property & Asset Manager for that of the Village premises, the two must work closely together in supporting each other in their duties. A substantial level of cross-over/support is accordingly required to ensure the smooth operation of the Village and to optimise resident satisfaction levels. Issues associated with resident health and requests for maintenance and other works in the Village are expected to require close cooperation within the Village Team. Although Mosaic Living's mission is to provide self-care accommodation for Jewish seniors, there are a number of non-Jewish residents residing in our Kadimah Gardens Village.
