This is a fabulous opportunity to join a fashion lifestyle business based in Dunsborough that supports and distributes to 400 stockists across Australia and Current Zealand. We are looking for an experienced reception/ administration person. You will work in a team with the Office Manager and other receptionist / admin person, retailers, agents and other departments in the office to provide assistance and support on a daily basis. We are looking for someone "long term" as establishing strong relationships with our customers and agents is a key part of the role. Office hours for this position are 8 am - 4:30 pm.
You will be responsible for handling customer enquiries and sales queries, so an excellent phone manner and communication skills are essential. This is a varied, fast-paced and exciting role. The perfect position for a candidate who can demonstrate attention to detail, has high energy levels and understands the importance of excellent organization and customer service skills.
You will also be assisting in a multitude of areas and the job requirements will vary as our company grows. We are looking for a special person who can work independently where necessary, and cooperate positively with a motivated team of individuals. Creating sales orders and invoicing through our inventory management system is a large component of this role, as well as shipping and handling orders and queries when required.
Prior experience in reception/administration and retail is preferable.
A minimum of 3+ years of reception/administration experience is required for this position.
Retail industry experience is strongly preferred and will be highly regarded.
Please note we are a seasonal business and therefore have very busy periods where all staff are required. Holidays restrictions apply Mid Feb - End May and Mid August - Mid November.
Key Responsibilities include:
- Reception -including greeting and serving retail customers, answering the phone, responding to email enquiries.
- Invoicing, liaising with clients in regard to processing credits.
- Proforma customer and debtor follow-up by email and phone.
- Collection and maintenance of customer contact details and processing credit applications - ensuring up to date contact information, collecting deposits.
- Assist in the maintenance of filing and organisational procedures for soft and hard copy documents.
- Excel spreadsheets uploads for Dant and Brandscope.
- Pricing stickers for sample ranges.
- Sort stock returned from retailers and credit.
- Produce con notes and apply freight to invoices.
- Assist in preparing paperwork for International deliveries.
- Maintain order forms and systems in regard to stock availability.
- Ensure the office is presentable at all times by maintaining the office and kitchen cleanliness.
- General office and administrative duties as required, including mail, stock take, stock from the warehouse, ordering office consumables, freight reconciliations.
Key Selection Criteria:
- Previous experience in a similar position and well presented.
- Attention to detail and accuracy.
- Good memory recall
- The ability to learn additional software systems quickly.
- Confidence to think clearly and ensure the office is being managed efficiently.
- Intermediate knowledge and current use of Outlook, Word, Excel.
- Competency in Excel with basic formula skills is required for spreadsheet management and data analysis tasks.
- Dedicated, hardworking and the vision to go above and beyond.
- Excellent communication skills (written and verbal) at all levels.
- Friendly, thoughtful and can demonstrate initiative.
- The ability to prioritise, maintain office procedures and manage multiple tasks.
