Overview
The Association Coordinator is responsible for the day-to-day administration and coordination of Brisbane Netball Association (BNA), with a strong focus on competition delivery, game-day operations, internal coordination, and member experience.
This position requires attendance onsite 3 days per week.
This role supports the President and Board by executing agreed decisions, coordinating staff, volunteers and convenors, and ensuring competitions and association activities run smoothly.
Responsibilities
Manage the day-to-day administrative operations of BNA (excluding Board governance)
Act as an administrative contact for clubs, members, convenors, officials and facility users
Assist with the coordinating of the operational delivery on competition days including:
Ensuring Games Desk documentation is printed when required for game day and club carnival.
Ensuring the season ladders and games results are entered correctly and maintained post-game day
Overseeing the smooth running of netball games and fixtures and the completion of required paperwork
Support staff and volunteers
Issue resolution and escalation to the President and Board where required
Assist with registrations, scheduling support, communications and competition logistics
Assist with rostering, task allocation
Support competitions, umpiring, representative programs, and events where necessary
Maintain operational systems including Netball Connect and internal databases
Coordinate facilities access, bookings and day-to-day usage including on-site facilitation during external court bookings (e.g., schools)
Coordinate internal communications, operational records, systems and workflows
Track and follow up operational actions arising from Board decisions
Coordinate and support administrative staff, casuals and volunteers
Support day-to-day financial administration in conjunction with the Treasurer and bookkeeper where required, including:
Invoicing and receipts
Point of sale (POS) and cash handling processes
Reconciliations support
Assist with grant administration, reporting and acquittals (operational inputs only)
Monitor and report maintenance issues, safety concerns, and equipment needs
Liaise with Canteen Convenor and offer support with ordering etc when required
Liaise with council, suppliers, and contractors on minor operational matters
Support safe operations in line with WHS and Child Safe requirements
Maintain operational records required for compliance (e.g., Blue Card tracking)
Refer formal governance matters to the President and Board Secretary
Qualifications
Proven experience in administration, coordination, or office management roles
Strong organisational and time-management skills
Excellent written and verbal communication skills
Ability to manage multiple tasks in a fast-paced, community-based environment
Comfortable working with volunteers and community stakeholders
Willingness to work weekends and outside normal hours during netball seasons
Current Blue Card (or willingness to obtain)
Highly Desirable
First Aid and CPR
Experience in a sporting, not-for-profit or community organisation
Familiarity with Netball Connect or similar membership systems
Experience with basic financial administration and reporting
Experience coordinating events or competitions
Practical and hands-on
Reliable and calm under pressure
Approachable and solutions-focused
Strong problem-solving skills and the ability to handle escalations effectively
Comfortable coordinating people without needing formal authority

The Association Coordinator is required to maintain discretion and confidentiality and to always act in the best interests of the association.
This is a critical operational role for Brisbane Netball Association.
The Association Coordinator is required to work when and where netball is happening, particularly during competition periods and key association events.
This position is offered on 3 days a week, casual basis and will involve:
Work outside of standard business hours
Variable hours aligned to competition schedules, events and operational needs
While some administrative tasks may be completed during standard weekday hours, the role is inherently event and competition driven, and availability during game days is an essential requirement of the position.
Flexibility will be provided where possible; however, applicants must be willing and able to work evenings and weekends to support the effective operation of the association.
