As a Ministerial Office Support Officer, you will report to the Assistant Director of the team and your main responsibilities will include overseeing key processes related to supporting our ministerial offices. You will help the team provide Parliamentary services by managing the department's Question Time Briefing process, assisting with the recruitment and training of Departmental Liaison Officers, handling ministerial office accounts and purchases, and advising the Executive on ministerial entitlements such as staffing allocations. You will also be responsible for various other tasks as required to support the broader team. The key duties of the position include Responsibilities of the Ministerial Office Support Officer role may include: In partnership with the Assistant Director, provide support services to our ministerial offices and Departmental Liaison Officers (DLOs) by effectively managing services such as Comcar, print and digital media subscriptions, courier services and ad hoc purchasing in accordance with ministerial entitlement guidelines. Lead the coordination and delivery of regular department-wide reporting to our ministers. Lead the portfolio-wide Question Time Brief (QTB) process, which includes managing QTBs in the department's Parliamentary Document Management System, engagement with DLOs to ensure timely delivery to our ministerial offices, and monitoring Question Time and deliver a daily summary of events to the Executive on Sitting days. Provide advice to our DLOs to deliver optimal solutions to requests received from our ministerial offices. Assist with financial management functions of the team, including through the management of a shared courier service contract, monthly reporting for our ministerial offices and expenditure tracking and forecasting for ministerial office services.
