About the Company

We are a mid-sized business that imports and distributes Organic Herbs and Spices. With a strong focus on employee satisfaction, efficiency, quality, and customer service, we’re excited about this next phase of growth following our relocation to the Central Coast in October 2024. We import over 500 products and process them into 3000+ items from suppliers around the world. Located in Fountaindale on the Central Coast, we are looking for a motivated and capable Customer Service and Admin Coordinator to join our team!

About the Opportunity

As the Customer Service and Admin Coordinator, you will be responsible for leading our customer service team while also remaining actively involved in daily operations. Approximately 60% of your time will be hands-on — responding to enquiries, resolving complaints, and ensuring customer satisfaction — while the remainder will focus on leadership, administration, and reporting.

You will play a critical role in ensuring smooth operations, adherence to response time and resolution targets, and maintaining a consistently high customer satisfaction rating. This role also supports the Operations Manager with ad-hoc projects and business improvement initiatives.

Your responsibilities

- Leading the customer service team, ensuring targets for response time, resolution time, and satisfaction are met
- Handling customer enquiries and complaints (hands-on, ~60% of role)
- Oversee invoicing, manually placed orders, and general administration tasks
- Following up and managing customer backorders
- Inputting KPIs and preparing monthly reporting packs
- Supporting the Operations Manager with ad-hoc tasks and projects
- Ensuring the smooth running of customer service processes in line with company standards
- Maintain accurate and up-to-date records within company systems
- Engage in customer relationship building through occasional outreach and sales support

About You

The successful candidate will have:

- 2+ years’ experience in a customer service role with at least 1 year of team leadership/management
- Strong administrative skills and high comfort with technology and software systems
- Experience with ticket-based systems (Gorgias, Zendesk, or similar advantageous)
- Strong communication skills with the ability to balance hands-on customer service and leadership
- A proactive, organised approach and strong attention to detail
- Ability to thrive in a fast-paced environment while supporting a high-performance team
