Job Details
Key Responsibilities:
* Ensure flight and room rosters are up-to-date for new permanent employees.
* Process requests to create flight and room rosters based on workforce planning data.
* Manage roster amendments for permanent employees, including unplanned absences and terminations.
* Liaise with site managers to ensure timely notification of travel changes.
* Coordinate roster amendments resulting from agency staff cancellations and changes.
* Collaborate with the Workforce Planning Team to meet agency staff travel deadlines.
Profile Management:
* Create and maintain accurate traveller profiles in external systems.
* Update SAP ID data to ensure travellers comply with travel requirements.
Room Optimisation:
* Maintain and update rotational room planning for Sodexo allocated rooms.
* Ensure room management data is up-to-date for accurate room availability visibility.
* Conduct regular room optimisation reviews to align with client KPIs.
Travel & Accommodation Booking:
* Process bookings for permanent and relief employees travelling by commercial and charter flights.
* Handle emergency flight changes and adhoc relief coverage bookings.
* Book bulk commercial flights based on roster data.
* Support booking travel and accommodation for non-site-based employees.
Quality Assurance:
* Maintain an accurate flight log for data accuracy and auditing purposes.
* Review no-show costs resulting from processing errors or delays.
* Reconcile month-end reporting data against flight logs and no-show reports.
* Evaluate and escalate issues requiring client liaison.
* Lead by example in adhering to standards and processes.
* Participate in process reviews and continuous improvement activities.
Customer Service:
* Provide high-quality customer service and set a positive example.
* Assist Travel Coordinators with non-complex escalations and queries.
* Demonstrate effective communication with colleagues and stakeholders.
* Align with team rostering requirements and business needs.
