The Rockhampton Grammar School is seeking to employ a passionate and experienced Accounts Officer.
This is a permanent part-time position (20.5hrs/week).
Ideally the successful candidate will be willing and available to flex up to work full-time 38hrs/week through to 29/01/2027 and potentially beyond.

ABOUT THE ROLE
The Accounts Officer will carry out the day-to–day processing of Accounts Receivable and Accounts Payable using the financial management information system, including maintenance of accounts and associated records.
KEY DUTIES AND RESPONSIBILITIES
The Accounts Officer is responsible for a combination of:
* Accounts Receivable - is responsible for the day-to-day processing of all aspects of the accounts receivable function of the School. The incumbent is accountable for the quality, accuracy and timeliness of the accounts receivable function and is required to show initiative and discretion. Good record keeping, attention to detail and a high degree of confidentiality are essential.
* Accounts Payable - is responsible for the day-to-day processing of all aspects of the accounts payable function of the School. The incumbent is accountable for the quality and timeliness of the accounts payable function, and is required to show initiative and discretion.
This position works as part of the finance team, and will liaise with the Accountant, Accounts Officer/s, Finance Manager and Board Secretary.
Accounts Receivable duties will include:
* Processing term billing and sundry charges;
* Updating parent records where required;
* Daily bank processing and reconciliations;
* Reconciliation of accounts including TASS with other systems such as Kidsoft, MYOB and DanceBiz;
* General ledger reconciliations;
* Maintenance of debtor records with respect to collection of fees;
* Monthly debtor management and reporting;
* Banking;
* Ensuring the Debtor Management policy and procedure are adhered to;
* Contribute to improving financial systems and reporting efficiency;
* Provide excellent customer service to families and internal departments, both in-person and via phone and email;
* Supporting month-end processes.
Accounts Payable duties will include:
* Receive, review and prepare invoices in readiness for processing, including ensuring that invoice details, payment authority and GST requirements are met;
* Provide guidance to staff on accounts payable procedures, including costing account allocations;
* Enforce the Purchasing and Procurement policy to ensure compliance;
* Ensure the Delegations of Authority Schedule is complied with;
* Match invoices with purchase orders in Alii;
* Process invoices in preparation for payment;
* Reconcile creditor statements with the database and follow up on outstanding invoices;
* Process creditor payments (electronic and cheque) and remittance advices;
* Credit Card acquittals processing;
* Complete monthly reconciliation and reporting processes;
* Maintain petty cash.
General Administration duties will include:
* Assistance with general office duties, including:
o Filing/archiving;
o Photocopying, binding and collating documents;
o Updating documents and resources electronically;
o Mail;
o Manage the email mailbox for accounts receivable/and or payable;
o General word processing and spreadsheet work;
o Travel bookings for staff;
o Reception and other administration duties including attending the reception desk and telephone;
* Supporting team members and providing backup as needed;
* Any other duties as required by management.
REQUIRED SKILLS/KNOWLEDGE/EXPERIENCE
* 2+ years' experience in treasury banking, accounts receivable/payable, and administration;
* Strong computer skills (Microsoft office, excel proficiency essential);
* Excellent attention to detail and accuracy;
* Proficient in the use of TASS (highly regarded);
* Strong organisational and time management skills;
* Good understanding of general financial procedures, including GST and debt collection regulations;
* Excellent communication skills, both oral and written;
* High level of discretion and ability to exercise confidentiality;
* Ability to work independently and as part of a small, close-knit team.

CONDITIONS OF EMPLOYMENT
The successful applicant will be subject to a "Working with Children Check and Criminal Records Check" where applicable. The School undertakes several screening processes to ensure the appropriate protection of children and young people in its care. This includes reference checks, identity checks, qualification check and professional registration checks.
