THE ROLE
As a Maintenance Administrator, you will provide essential support to the Operations Supervisors in managing our client base. Your role will focus on assisting with job scheduling, reporting, invoicing, & general administrative tasks to ensure efficient workflow & contract KPI compliance. Based at our Head Office in Balcatta, you will work closely with internal teams, trades & key stakeholders to help deliver high-quality service.
RESPONSIBILITIES
* Job scheduling, daily schedule checks, & work order coordination
* Managing inbound & outbound communications (phone, email, client portals)
* Assisting payroll with schedule and timesheet management
* Supporting procurement of materials & job-related purchases
* Assisting with quoting & minor project administration
* Monitoring & updating job management systems to ensure KPI compliance
* Generating reports & assisting with invoicing
* Maintaining a professional & courteous approach in all client & team interactions
* Proactively contributing to process improvements & business development
IDEAL CANDIDATE
We're looking for an organised & proactive professional. You will have a keen eye for detail, strong problem-solving abilities, & excellent communication skills. You will enjoy working collaboratively with a dynamic team while taking ownership of your responsibilities.
* 5+ years experience in a similar administrative role (preferably within maintenance, trades, or building services)
* Cert III in Business or similar qualification
* Experience with job management software (SimPRO) is highly regarded
* Strong organisational skills with the ability to multitask & meet deadlines
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint
* Excellent communication & interpersonal skills
* A proactive approach & a flexible, can-do attitude
