Our Client

Our client is a lead government agency in NSW. We are seeking an organised and detail-oriented Administration Assistant/Executive Assistant for an immediate start on an initial 6-month contract. Offering $60-65 per hour plus super, this role comes with a 35-hour workweek in a team environment. Role Summary

This is a pivotal administrative position that ensures smooth day-to-day operations by supporting senior leaders and frontline teams. You will be the organisational linchpin, managing a broad range of administrative functions—from diary management and procurement coordination to compliance record-keeping and stakeholder communication. This role is ideal for a detail-oriented administrator looking to make a meaningful contribution in a purpose-driven environment.

Key Responsibilities

* Provide comprehensive clerical and administrative support across business functions
* Coordinate diary management, meetings, travel and training logistics for senior staff
* Process procurement transactions including purchase orders, invoice reconciliation and compliance checks
* Maintain accurate records and file systems in line with information governance standards
* Manage incoming communications (mail, emails, phone enquiries), distributing and responding appropriately
* Compile data and documentation to assist in preparing reports and submissions
* Update and manage internal databases, registers and tracking systems
* Support meetings and events through preparation of agendas, minutes, and materials
* Handle routine purchases and assist in maintaining office supplies and equipment
* Address internal and external enquiries professionally, referring complex issues as required
* Apply confidentiality and discretion when handling sensitive information
* Collaborate with colleagues to meet organisational service standards and timelines

About You

We're looking for a driven and detail-oriented individual with a knack for organisation and a proactive approach to problem-solving. To succeed in this role, you'll need:

* Proven experience in administrative support, ideally within legal, government or community service settings
* Strong knowledge of procurement processes including raising purchase orders and invoice processing
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
* Demonstrated ability to manage multiple priorities with accuracy and efficiency under tight timeframes
* Familiarity with working in sensitive or confidential environments, especially those involving disability, aged care or vulnerable populations
* Strong interpersonal and communication skills, both written and verbal
* Experience supporting senior managers or executive-level staff preferred
* Knowledge of records management and information compliance frameworks
* High level of attention to detail and organisational ability
* Australian Citizenship, Permanent Residency or a valid long-term working visa is required
