What you'll be doing
In this role, you will provide high‑level administrative and billing support to the Medical Office Manager, Head of Department and NICU Staff Specialists, ensuring seamless day‑to‑day operations within a busy clinical environment. You’ll help ensure accurate billing, effective communication, and well‑coordinated medical workflows.
* Key responsibilities include:
* Processing electronic inpatient and outpatient private patient billing to meet monthly revenue KPIs
* Coordinating administration for the multidisciplinary Growth & Development Clinic, including parent communication
* Ensuring outpatient activity is accurately captured in IPM to meet ABF KPIs
* Liaising with external healthcare providers to support timely follow‑up for neonatal patients
* Organising medical team meetings, agendas and minutes, plus managing electronic communication channels
* Maintaining key administrative and financial spreadsheets
* Acting as a primary contact for enquiries from WSLHD staff, families, Medicare and external stakeholders
* Assisting with travel and conference bookings for Staff Specialists
* Supporting Oracle requisition processing and assisting with payroll entry in HealthRoster when required

Selection Criteria
* Excellent organisational skills with the proven ability to handle high volumes of inquiries and paperwork in a busy workplace whilst simultaneously maintaining a high level of customer service.
* Excellent written and oral communication skills with the demonstrated ability to handle difficult situations whilst maintaining a professional image.
* Previous experience in office administration/secretarial role, or a similar position with direct customer service contact.
* Demonstrated evidence as an effective team player with capacity to be flexible, motivated and participate in an inclusive medical team.
* Excellent understanding of medical terminology.
* Commitment to continuing professional development and to working in a continuous quality environment.
* Demonstrated proficiency using Microsoft Professional applications and using any other computerised applications.
* Previous experience with online medical electronic billing system(s).
