About the Role:
We are seeking a motivated and detail-oriented individual to join our administration team in a full-time capacity. The successful candidate will be responsible for supporting various administrative functions, including data entry, invoice processing, customer service, and general office duties. You will be working in an open office environment alongside a supportive team, where your contribution is essential to the smooth running of our operations.
Key Responsibilities:
Invoicing & Account Management:
* Generate invoices and account statements with precision.
* Assist with accounts receivable and debt collection.
Administrative Support:
* Provide administrative assistance to the trades and the broader administration team.
* Perform data entry tasks using management software and third-party applications.
* Carry out general office duties as required.
Customer Service:
* Deliver exceptional customer service both in person, by phone, and via email.
* Respond to customer enquiries and resolve issues in a timely and professional manner.
* You will form part of a rotating phone call roster as required on an after hours basis.
Software Management:
* Utilise MYOB proficiently and learn new software applications as required.
Time Management & Accuracy:
* Maintain a high level of attention to detail in all tasks.
* Manage your time effectively to meet deadlines in a fast-paced environment.
Skills and Experience:
* Technical Skills:
* Proficiency in MYOB is essential.
* Strong computer literacy, including proficiency with Microsoft Office and Google applications.
* Ability to learn and use multiple software programs quickly and efficiently.
* Experience in a customer-facing administrative role is highly desirable.
* Strong communication skills, both verbal and written.
* Attributes:
* High attention to detail and accuracy in all tasks.
* Strong organisational and time management skills.
* Ability to work effectively both independently and within a team.
* A flexible and adaptable attitude.
* Experience:
* Experience in accounts payable/receivable and general office administration is essential.
* A background in the Building Services or Maintenance industry will be highly regarded.
