As part of their strategic development and to enhance our programme delivery framework, an opportunity exists for a dynamic professional to join our Darwin Campus team in a unique academic administrative role.
The Opportunity
This is a newly created, pivotal position that blends academic management with high-level project administration. You will be the operational anchor for both our academic programmes and specific strategic projects on the Darwin Campus. The role is ideal for a VET academic management professional looking to leverage their sector knowledge in a broader administrative and project capacity, ensuring the seamless delivery and continuous improvement of educational offerings.
Responsibilities
* Serve as the principal point of administrative support for the Campus Manager and academic staff, ensuring efficient daily academic operations.
* Coordinate the comprehensive academic calendar, including the development and management of timetables and the allocation of physical and virtual learning spaces.
* Facilitate the entire student lifecycle from enrolment to graduation, upholding strict adherence to institutional policies and regulatory standards.
* Support the integrity of the assessment cycle by assisting in the coordination of processes, moderation activities, and the accurate entry of student results.
* Act as a central liaison for trainers, assessors, and academic leads to promptly address and resolve day-to-day delivery queries and operational challenges.
* Play a key role in audit preparedness by contributing to the collation and organisation of evidence for both internal reviews and external regulatory audits (e.g., ASQA, TEQSA).
* Provide administrative coordination for the recruitment, onboarding, and ongoing support of sessional academic staff.
* Deliver end-to-end administrative and coordination support for strategic campus projects, including new course implementations, campus initiatives, and accreditation processes.
* Prepare, format, and maintain critical project documentation, formal reports, and official submissions to ensure clarity, accuracy, and compliance.
* Orchestrate project-related meetings, including agenda preparation, meticulous minute-taking, and the systematic tracking and distribution of action items.
* Maintain rigorous programme and project records, managing dedicated SharePoint/Teams sites and document control systems to ensure information integrity and accessibility.
* Assist with project-related financial administration, including raising purchase orders and supporting budget monitoring and tracking activities.
* Proactively monitor project timelines and deliverables, providing timely updates to stakeholders and identifying potential variances.
* Ensure seamless communication and information flow across academic teams, corporate departments, and external project partners.
About You
We are seeking a highly organised and proactive individual with a background in the VET education sector. You are ready to step into a role where your academic expertise directly informs and enhances project and administrative excellence.
* Proven experience in an Academic Manager, Academic Coordinator, or Senior Administrator role within a VET college/RTO.
* Strong understanding of VET sector standards, compliance frameworks (Standards for RTOs), and the student journey.
* Exceptional organisational, administrative, and documentation skills with a relentless eye for detail.
* Advanced proficiency in MS Office Suite, Student Management Systems (SMS), and collaboration tools (SharePoint, Teams).
* Outstanding written and verbal communication skills, with the ability to liaise effectively with academic and corporate staff.
* Proven ability to manage multiple priorities, meet deadlines, and work autonomously.
* A solutions-focused mindset with a strong customer service ethos for both internal and external stakeholders.
* Direct experience participating in or coordinating audit processes.
* Formal qualification in Project Management, Various VET Course and or MBA with minimum 2 years of experience in the similar advertised role.
