I am currently recruiting for a permanent, full-time Executive Assistant/Office Manager to join a dynamic, growing privately-owned Australian Real Estate and Investment Company based in the heart of the Eastern Suburbs.
This organisation develops, owns, and manages a diverse portfolio of property and infrastructure assets, and is looking for someone who can bring energy, initiative, and a high level of skills and experience to the team.

PLEASE NOTE: You must be a Permanent Resident or an Australian Citizen to apply, and this role requires you to work in the office 5 days a week.
Your new role
•Own complex calendars, interstate/international travel, visas and itineraries.
•Organise meetings and video conferences across time zones.
•Prepare briefings and research packs.
•Manage calls and correspondence with professionalism and discretion and build strong relationships with partners and other stakeholders.
•Ability to confidently liaise with councils, regulatory bodies, and other authorities to ensure compliance, facilitate approvals, and support the smooth delivery of property and infrastructure projects.
•Lead reception and staff communications, keep communal areas tidy, manage printing, copying, binding and banking tasks.
Manage both hard copy and electronic files: organisation, storage, retrieval, archiving, retention and disposal, so records are accurate, secure and accessible to authorised staff.
•Oversee supplier relationships for property management, cleaning and security.
•Organise company events and team building activities.
•Investigate, suggest, implement and manage AI tools that drive efficiency and productivity, while staying current on emerging tech and leading the adoption of AI-driven systems.
•Assist with IT and systems access management
•Coordinate onboarding/offboarding, liaise with external IT partners, maintain HR IT systems and data integrity in line with privacy laws.
•Prepare and lodge property documents, contracts and compliance filings
•Support Directors by providing administrative assistance to family members of the CEO when required, with the utmost discretion.
What you'll need to succeed
•7+ years' experience as an EA or Office Manager supporting CEOs or senior executives, ideally within major corporations, law firms, or the property/investment sector.
•Proven ability to manage conflicting priorities and deadlines across complex, multi-site environments.
•Stable career history demonstrating reliability and long-term commitment.
•Skilled in AI tools and modern technologies to streamline workflows and boost productivity.
•Proficiency in Microsoft Office (including Outlook), with strong knowledge of Teams and SharePoint.
•Familiarity with property industry terminology, compliance processes, documentation, and office IT systems.
•Exceptional communication and interpersonal skills, collaborative, proactive, and solutions-focused.
•High integrity, discretion, and attention to detail; resilient under pressure.
•Culturally aware and adaptable, effective with diverse teams and stakeholders.
