About This Opportunity
We are seeking an experienced Administrative Assistant to join our Music Events Department. This is a permanent part‐time position. Reporting to the Head of Extra‐Curricular Music, you will be responsible for supporting the music program at the School by coordinating, supporting, and administering the wide range of activities and programs offered by the Department.
Key Responsibilities
* Provide administrative support to the Music Department, ensuring tasks are managed efficiently and with a high level of confidentiality and professionalism.
* Act as a key point of contact by responding to enquiries, answering phones, greeting visitors, and liaising with internal and external stakeholders.
* Maintain accurate student records and attendance information in TASS, including ensemble lists, class rolls, and absence records.
* Support Music Tutors with administrative processes, including student allocations, report preparation, and responding to queries regarding school systems and procedures.
* Assist with the coordination and administration of extra‐curricular music activities, rehearsals, camps, tours, and performances.
* Support the planning and delivery of music events and concerts, including bookings, documentation preparation, and operational assistance when required.
* This role works in conjunction with the Administrative Assistant, Music, to provide reception, administration, student and staff support across the Extra‐Curricular Music Department.
Work Details
* Days of work: Monday to Friday during School term, plus some additional days during school holiday as required for events.
* Work hours: 11 am to 5 pm (30 hours per week)
This position is covered by the Queensland Anglican Schools Enterprise Agreement 2024 and is classified as a School Officer Level 3.
Skills and Experiences
* Experience working in a busy administration environment. Ideally, in a school setting.
* Competent in the use of Microsoft Office with experience using various software programs. Experience using The Alpha School System (TASS) would be an advantage.
* Demonstrate an understanding of appropriate professional boundaries and standards when working with children and young people.
* Exceptional level of customer service, with a high level of professional standards and conduct.
* Demonstrated ability to meet deadlines, organise your workload and provide an efficient and accurate service to the department.
* Excellent communication, written and verbal skills.
