Purpose of the Role
BGIS is seeking a highly organised Facilities Coordinator to manage day-to-day operations at our South Brisbane office for a long-standing national client. In this role, you will serve as the primary point of contact for internal and external stakeholders, ensuring maintenance requests are efficiently managed, compliance standards are upheld, and service contracts are delivered to a high standard. You will also support the Business Support and Facilities teams in operational, financial, and administrative tasks. This role is ideal for someone who is proactive, adaptable, and enjoys problem-solving in a dynamic environment.
Key Responsibilities
* Act as the first point of contact for the management office, interfacing with internal and external stakeholders
* Manage and delegate maintenance requests, ensuring KPIs/KPFs are met and CMMS records are accurate
* Support Facilities Managers with financial, procurement, and administrative processes, including PO creation and invoice approvals
* Monitor Fire Life Safety requirements and building compliance
* Supervise service contracts and subcontractors, conducting inspections to ensure regulatory and client standards are met
* Maintain clean, organised, and functional workspaces, including overseeing daily cleaning, consumables, and waste management
* Schedule and coordinate vendor and cleaning provider meetings to review performance
* Prepare and maintain accurate documentation and monthly reporting
* Coordinate mailroom activities, access cards, and office resources efficiently
* Support and mentor team members, fostering accountability, coaching, and a positive work environment
* Occasionally travel to other sites to provide support and backfill roles as needed
* Participate in after-hours work as required, including responding to emergencies
Key Objectives
* Customer and Stakeholder Engagement: Foster strong relationships with clients, team members, and subcontractors to ensure seamless communication and service delivery
* Operational Management: Oversee maintenance requests, vendor performance, and service contracts while maintaining accurate CMMS records
* Compliance and Safety: Ensure OHS&E and sustainability standards are met, proactively identifying opportunities for improvement
* Team and Administrative Support: Assist with financial and procurement processes, reporting, and promoting a positive team culture
Education, Experience & Skills
* Experience in property, corporate real estate, or facilities management, with integrated service delivery experience
* Strong proficiency in CMMS and desktop applications (Word, Excel, Outlook)
* Understanding of OHS, QA, environmental systems, and financial processes
* Excellent organisational, problem-solving, and communication skills
* High School Certificate or equivalent; formal qualifications in facilities management, building, or OH&S
Desirable
* Knowledge of building services, scoping, tendering, and subcontract documentation
* Current First Aid Certificate and qualifications in environmental legislation or systems
* Adaptability in multitasking, reporting, and providing recommendations
