**About the Role**:
We are currently looking for a Client & Reservations Agent for our client BackTrack Adventures, based in Brisbane, QLD. We're looking for someone who can create high customer satisfaction by providing premier service in finalising all reservation and air details to ensure our customers have an outstanding
experience. You must be able to ensure all enquiring customers are cared for and their questions are answered in a timely, professional manner. You will seek out opportunities for up selling and verifying that all required booking information is completed correctly.
**Key Responsibilities**:
- Prepare and distribute confirmation kits to clients after booking.
- Receipt client payments.
- Pay suppliers.
- Write off airline tickets.
- Send payment reminders to clients and alert Consultants of overdue payments.
- Process Traveller Profile Forms.
- Create, update, and maintain Cross Check (CCTE) client & trip files.
- Update trip files and keep suppliers advised of schedule changes.
- Check trip files to ensure there are no gaps between arrangements.
- Arrange tour, hotel, rail, and transfer quotes and bookings when requested.
- Answer client enquiries.
- Monitor GDS queues, assess & action flight changes & reissues.
- Ensure all bookings (incl GDS) have all necessary information such as frequent flyer numbers, meal and seat requests, contact and passport details.
- Liaise with airlines, suppliers, and clients where necessary.
- Chase travel documentation
- Look after consultant bookings and clients during staff absences.
- Ticket flights and assign seating according to client preference.
- Ensure all details are correct in CCTE to enable seamless Quote Cloud proposals and documentation.
- Upload proposals to Quote Cloud and ensure they are correctly formatted.
- Assist Office Coordinator as required.
- Any other tasks as required.
**Key Requirements**:
- Strong customer service and communication skills.
- Ability to manage deadlines and prioritise workload.
- Understanding of customer service experience.
- A minimum of 12 months or more experience in a related capacity.
- Travel industry experience is desirable, however not essential.
- Some experience working with GDS.
- Ability to maintain accuracy and attention to detail.
