Casual | 10-13 hours per week (school term only)
Tuesdays & Thursdays | 9:30am – 2:30pm, 8:30am - 3:00pm

(some administration may be required during school holidays)

About Us

Buderim Community Kindergarten is a not-for-profit, community-based organisation offering a high-quality kindergarten program for children in the year prior to starting school. We pride ourselves on creating a warm, calm, and friendly environment, with just one small group of children attending each day.

As a community-run service, day-to-day operations are overseen by the Nominated Supervisor, while a parent-led Management Committee, elected at our AGM each year, is responsible for the overall governance of the kindergarten.

About the Role

We are seeking a friendly, reliable, and organised Administration Officer to provide administrative support to ensure the smooth and efficient running of the kindy. You’ll be working closely with our Nominated Supervisor/Teacher, Educators and Parent Committee to assist with a wide variety of operational tasks.

This is a casual position for 10-13 hours per week during school terms, ideally working Tuesdays and Thursdays from 9:30am to 2:30pm, 8:30 to 3pm and commencing Term 4.

Key Responsibilities

- Work closely with the Nominated Supervisor and Management Committee, undertaking tasks as directed.

- Provide high-level administrative and office support to staff, families, and committee members

- Manage enrolments, waitlist and maintain accurate centre records (including attendance, building & maintenance, OH&S;, and QIP documentation)

- Support the annual committee handover and provide clear guidance on governance responsibilities (organising and uploading Approved Provider documents to the Regulatory Authority on the portal)

- Liaise with families and external providers in a professional and friendly manner

- Assist with maintaining digital platforms and resources including website updates, social media, and parent communication platforms

- Filing and organising documents (digital and paper-based)

- Printing, photocopying, and scanning materials

- Managing incoming and outgoing emails and phone calls

- Ordering and maintaining office and kindergarten supplies

- Data entry and updating records (e.g. enrolments, attendance, contacts)

- Welcoming prospective families and conducting tours of the kindergarten

- Preparing and formatting documents (e.g. newsletters, reports, notices)

- Maintaining staff and child records in line with privacy requirements

- Assisting with mail collection

- Coordinating service maintenance or repair requests

- Liaising with external providers and suppliers

- Assisting in the preparation of compliance, funding documentation and grant applications

Essential Criteria

- Current Blue Card (working with children check)

- Administrative experience, preferably in a kindergarten, early childhood, not for profit or school setting

- Excellent computer literacy, including proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint), Google suite and Mac operating systems.

- High level of initiative and ability to work independently

- Strong communication and interpersonal skills

- Excellent time management, attention to detail, and organisational skills

- Familiarity with digital tools/platforms such as:

- Storypark For Families

- Canva

- Weebly (or other website platforms)

- Square

- Xap – an all-in-one childcare management platform or willing to undertake training

Highly Regarded

Educational qualifications - Certificate or Diploma in early childhood is a bonus, and can step on the floor as educator if needed for relief.

- Child Protection training or willingness to undertake.

- Senior First Aid & CPR.

- Experience working in a not-for-profit or community kindergarten or not for profit organisations.

- Understanding of the National Quality Framework (NQF) and Early Years Learning Framework (EYLF)

- Previous experience supporting a volunteer management committee
