About the Role The Administration Officer oversees day‑to‑day office operations and client journey management, from initial enquiry through to enrolment, ongoing communication, and cessation. Working closely with the Business Manager and Managing Director, this position also provides essential support across scheduling, HR coordination, and basic marketing tasks. You will play a key role in maintaining a welcoming and efficient office environment while upholding the company’s values, culture, and commitment to child safety. Key Responsibilities Client Journey Management You will be the first point of contact for families, guiding them through enquiries, enrolments, scheduling, and ongoing communication. Responsibilities include managing the CRM, preparing induction materials, responding to rescheduling/cancellations, and ensuring reception areas remain tidy and welcoming. Office Operations & Scheduling This role involves reception duties, inbox triage, electronic and paper filing systems, tutor and lesson scheduling, meeting organisation, and maintaining accurate weekly rosters. You will communicate professionally with current, past, and prospective clients as well as external stakeholders. People & Culture (HR) Support In collaboration with the Business Manager/Managing Director, you will support HR activities including recruitment administration, onboarding documentation, compliance requirements, WHS updates, and coordination of staff schedules. Business Support You will liaise with the Business Manager regarding scheduling changes, invoice preparation, and attendance confirmation. The role also includes assisting with social media content and basic marketing tasks in line with brand guidelines. About You You are an organised, confident administrator with excellent communication skills and a commitment to delivering high-quality service. You enjoy problem-solving, take initiative, and bring a calm, professional presence to a busy environment. You will also have: Experience in administration, office management, or a similar role Excellent Microsoft 365 skills, including CRM or scheduling tools Strong organisational, time-management, and communication abilities A proactive, solutions-focused mindset with high attention to detail Professionalism, discretion, and respect for confidentiality The ability to build strong working relationships with clients and staff Experience with Xero is desirable but not essential.
