About Us
Magnolia House Psychology and Therapies Centre is a vibrant multidisciplinary practice in Toowoomba, where over 40 diverse mental health professionals work together to support our community. We're recently established at our new Herries Street location with improved facilities and parking, and we're passionate about making quality therapeutic care accessible to everyone—especially those who need it most.
Our clients include families navigating complex challenges, children and young people, and individuals working through difficult life circumstances. Every day, our front desk is where hope begins—and we need someone special to be part of that.
The Role
We're seeking a part-time or full-time receptionist who understands that this isn't just about answering phones and booking appointments (though you'll do plenty of that). It's about being the warm, professional face of a practice where people often arrive feeling vulnerable and leave feeling supported.
You'll be the first point of contact for clients reaching out for help, working across our multi-site practice to coordinate appointments, manage records, handle billing, and keep our clinical team organized so they can focus on what they do best.
No prior experience in psychology or medical reception is required—we'll teach you everything you need to know. What we can't teach is genuine care for people, reliability, and a team-first attitude.
What You'll Do
Your days will be varied and meaningful:
- Welcome clients warmly and manage appointment scheduling across our team
- Handle phone and email enquiries with professionalism and empathy
- Maintain accurate client records with strict confidentiality
- Process billing, invoicing, and Medicare claiming
- Support our clinicians with correspondence, reports, and administrative tasks
- Keep our practice systems running smoothly (we'll show you how)
- Contribute to the positive, collaborative culture we've built
What We're Looking For
- Excellent communication skills – warm on the phone, explicit in writing, respectful in person
- Strong organizational abilities – you can juggle multiple tasks without dropping balls
- Attention to detail – accuracy matters in healthcare
- Confidence with technology – comfortable with Microsoft Office and learning new systems
- Discretion and professionalism – you understand confidentiality isn't optional
- Team mindset – you're genuinely excited to be part of something bigger than yourself
