Proactive Executive Assistant needed to support a dynamic state government client. Requires exceptional organisational skills, experience managing complex administrative functions, and the ability to thrive in a fast-paced environment. You'll provide high-quality support, work autonomously, and proactively resolve issues. Strong understanding of government processes is a plus.Key Responsibilities:Provide comprehensive and high-level secretarial support to the client.Work autonomously to understand and resolve administrative and logistical challenges.Proactively manage the client's complex calendar, schedule meetings, prepare agendas, and develop professional presentations.Prepare complex administrative and Ministerial correspondence using platforms such as Mincor Neo/MECS, including drafting Ministerial Briefs, Ministerial letters, Parliamentary Questions (PPQ’s), Governor’s bi-monthly briefs, and Statements of Work.Undertake secretariat duties for key committees.Coordinate all travel arrangements, including flights, accommodation, and itineraries.Provide support during the Estimates process, assisting with the preparation of relevant documentation.Collaborate effectively with a diverse range of internal and external stakeholders, building strong working relationships.Ensure all tasks are completed accurately and within required timeframes, maintaining a high standard of work.Communicate and negotiate effectively with staff and clients at all levels, demonstrating professionalism and tact.Key Skills and Experience:Proven experience as an Executive Assistant, ideally within a government or similarly complex environment.Demonstrated ability to work proactively and independently, taking initiative to manage tasks and solve problems.Exceptional organisational and time management skills, with a strong ability to prioritise and manage multiple demands.Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a strong working knowledge of Microsoft Teams for collaboration and communication.Experience preparing complex correspondence and documentation, ideally within a government context.
