What you can expect
We are currently seeking a motivated and professional Receptionist / Marketing Assistant to join us. This role is a fantastic opportunity for someone who enjoys being the first point of contact, thrives in a busy workplace, and wants to contribute to both front-of-house operations and marketing support. This is a permanent part-time role (3 days per week ongoing). However, to cover maternity leave, you will be required to work full-time hours until March 2026. From April 2026 onwards, the position will revert to the permanent part-time schedule of 3 days per week.
Key Responsibilities
Reception & Administration
- Greeting and welcoming visitors, ensuring a professional and friendly first impression.
- Managing incoming calls, transferring enquiries, and assisting visitors, customers, suppliers, and agents.
- Handling incoming and outgoing mail, deliveries, and courier arrangements.
- Performing clerical and administrative tasks, including preparing documents, scanning, filing, and proofreading.
- Coordinating calendars, meetings, and conferences (room bookings, catering, and set-up).
- Arranging flights, accommodation, and transport for employees.
- Planning and booking scheduled facility support needs.
- Ordering and maintaining office and kitchen supplies.
Marketing Support
- General administrative support for the Marketing team.
- Helping to coordinate events and promotional activities.
- Assisting with preparation of marketing materials, presentations, and reports.
- Supporting social media and digital marketing activities in collaboration with our regional team.
What you will bring
- Excellent verbal and written communication skills.
- Strong organisational skills and attention to detail.
- Ability to manage multiple tasks while maintaining professionalism.
- An understanding of cultural differences and professional client interactions.
- Experience in reception or front-of-house roles.
- Proficiency in Microsoft Office; Favorable if you have experience with marketing tools.
- Relevant administrative experience and/or job-related courses.
- Previous experience handling reception and administrative duties.
