Job Description
The role is supporting the Bowen hills office with a wide range of administrative and operational tasks. Day to day responsibilities include SAP management, domestic travel flight bookings, some calendar management for the GM, and light reception duties. You'll also handle monthly tasks such as accruals and corporate travel reconciliations, manage access cards, stationery orders, and catering requirements. There may be occasional assistance with warehouse tasks, and while a forklift ticket is desirable, Rio is open to someone willing to obtain one. The office is small, diverse, and friendly.
* Manage SAP processes including purchase orders, vendor payments, and vendor maintenance
* Coordinate domestic travel bookings via Concur, including approval workflows, accrual tracking, and reconciliation
* Provide calendar and scheduling support to the General Manager, including meeting coordination
* Perform reception duties in a front-of-house environment, ensuring a welcoming and professional presence
* Prepare monthly reports including accruals and reconciliation of the corporate travel account
* Assist with warehouse operations; a forklift ticket is preferred, or willingness to obtain one
The Successful Applicant
* Strong administrative or project management background required
* Experience in construction or oil & gas industries is highly regarded, though we welcome candidates with transferable skills and the right capabilities
* Proficiency in SAP and Microsoft Office Suite is essential
* Experience with Concur and SharePoint will be considered an advantage
* Excellent communication and interpersonal skills.
* A proactive approach with a keen eye for detail.
* Ability to work effectively both independently and as part of a team.
* Familiarity with budget tracking and reporting processes.
We are keen to move quickly, with shortlisting underway and a goal to have someone start before Christmas. The office will shut down from 23 December to 5 January.
