Scheduling Coordinator

About the Role

We're looking for a sharp, proactive Scheduling Coordinator who thrives on change. In this role, no two days look the same — jobs shift, priorities pivot, and you'll be the person who keeps everything running smoothly. You won't just react to problems; you'll see them coming and solve them before anyone else notices.

This is a role for someone who genuinely enjoys the puzzle of logistics — fitting the right people into the right jobs at the right time, while juggling last-minute curveballs with calm confidence.

Electrical or construction industry experience is preferred but not essential for this position.

Key Responsibilities

* Serve as a key point of contact for customers, providing friendly, timely, and professional communication regarding scheduling and changes

* Coordinate and manage daily job schedules across teams to ensure efficient coverage and on-time service

* Proactively monitor upcoming appointments and anticipate scheduling conflicts or service disruptions

* Handle last-minute changes (reschedules, cancellations, urgent requests, staff absences) with calm, solution-oriented service

* Communicate clearly with customers, field staff, and management to set expectations and keep everyone aligned

* Maintain accurate, up-to-date scheduling systems to ensure real-time visibility and reliability

* Experience with any scheduling software is required to effectively manage and maintain scheduling systems

* Identify recurring scheduling issues or customer pain points and recommend process improvements

* Collaborate with operations, HR, and project teams to align staffing capacity with customer needs

* Prepare daily or weekly scheduling updates and flag potential service risks to leadership

What We're Looking For

* Proven experience in scheduling or coordination roles

* Minimum 1-2 years of scheduling or coordination experience is required

* Strong customer service mindset with excellent communication skills

* Ability to stay organised and composed in a fast-paced, changing environment

* Problem-solver who takes initiative and follows through

* Comfortable balancing multiple priorities while maintaining attention to detail

* Australian work authorisation is required at the start of employment
