**The role**
We are currently seeking an energetic **Business Administrator** to join our Stantec office in **Wollongong**. This permanent opportunity will see you supporting our Community Development business unit, with the focus on day-to-day administration, systems, and helping the office operate as efficiently and effectively as possible.
The position will report to the Office Manager and be based from our modern Wollongong office, which has approximately 100 staff and is located 2 minutes walk from the beach, cafes and restaurants.
Day to day tasks would involve:
- Ensure prompt, efficient, and courteous handling of all incoming calls and visitors.
- Ensure reception, kitchen, utility areas, and meeting rooms are kept clean, tidy, stocked, and prepared for daily use and functions.
- Arrange meetings (including catering, venues, and participants) as required.
- Delivery of mail/couriers to all staff and preparing outbound mail/couriers.
- Maintain the office pool vehicle fleet, submitting mileage sheets, arranging repairs and maintenance.
- Management of office consumables and ordering, and adherence to Stantec procurement practices.
- Assist with the onboarding of new team members, including the delivery of timesheet training & office tours.
- Manage day-to-day office building maintenance/repairs by liaising with contractors, building manager, and landlord when necessary.
- Submit expense reports and organise travel bookings for the Senior Leadership Team.
- Aid with IT/AV trouble shooting throughout the office as required.
- Assist other Administration and Reception staff across the Business Centre as necessary
- Undertake all activities in a responsible and professional manner ensuring all work is completed in line with Stantec Core Values and established administrative processes.
- Provide relevant information to marketing and communication teams in relation to new staff.
- Assist with the population of SMKC database information (Pipeline, Personal Profiles, Project Profiles, Capability Statements).
- Monitor and manage staff certification/training registers.
- Assist HSSE Rep with induction for new staff in the Wollongong office as required.
**Qualifications**
To be successful you will display
- Previous experience in similar roles within the engineering, construction or professional services industry
- Strong administration and organisation skills with the ability to multi-task
- A team player attitude with a pro-active and professional approach to work
- Polished and professional telephone communication skills and proficient typing with accuracy
- Advanced level skills in Microsoft office programs e.g. Word, PowerPoint and Excel
- Demonstrated experience using InDesign (desirable, but not essential)
- High level attention to detail, sound copywriting, editing and proof reading and skills.
- Ensure the quality of documentation adheres to company design guidelines and is to a high standard.
- High level interpersonal skills with the ability to positively liaise with key stakeholders.
- Ability to work under pressure and to tight deadlines.
- Ability to work independently and in a team to supporting multiple projects and conflicting priorities.
- Ability to collaborate and foster a cohesive team environment with a proven ability to self-manage.
